Smith College is accepting applications for an Organization Advising and Finance Coordinator to serve as the operations and budget coordinator for student organizations. Reporting to the Assistant Director of Student Engagement the Coordinator will oversee organization budgets and Treasurer Support Services including all organization and house accounts and key OSE administration functions related to organizations both in and outside of the Smith Social Network.  Serves as primary adviser for Student Event Committee and WOZQ.  This is a full-time, academic year position, 35 hours per week for 44 weeks per year.

DUTIES AND RESPONSIBILITIES:

Advising and Organization Support: Advise and support the Student Event Committee, the campus radio station, the student newspaper, the yearbook and the sophomore and junior class cabinets.         Advising will include but not be limited to attending individual weekly meetings with the chair of each organization and weekly executive board meetings with the groups.  Provide guidance, input and direction on strategic items such as mission and vision of the organization. Maintain a thorough understanding of all event programming components and required on-site, hands-on advising and oversight of large organization events. Possess a knowledgeable understanding of student organization programming models, best practices and student learning.

Financial Support and Budget Oversight: Manage all organization budgets, process paperwork related to expenditures and income, and provide regular updates about budget status to appropriate department heads. Oversee usage of the Student Organization credit cards.  Coordinate and report out credit card transactions. Coordinate the functions of Treasurer Support Services, acting as the liaison to the Controller’s Office to ensure the proper financial record keeping of all student organizations and house communities. Coordinate and facilitate student organization and house Treasurer Training in the fall and throughout the year ensuring that all student treasurers are properly trained on all College financial policies as their relate to their organization. Manage all finances in the Smith Social Network. Audit all transactions between the Smith Social Network and Banner Finance. Process all ORC allocations and transfers through the Smith Social Network.

Supervision:  Hire, train and supervise student employees for Treasurer Support Services.

Miscellaneous:  Support staff needs as necessary.  Perform related duties as required.

MINIMUM QUALIFICATIONS:

Education/Experience: Associate's degree required, and 1-3 years of experience in student activities and advising, or an equivalent combination of education and experience.

Skills: Excellent interpersonal and communication skills; attention to detail; ability to take initiative and solve problems; proven experience working with diverse constituencies; ability to effectively manage multiple and competing projects and priorities. Proficiency in MS Office, Banner operating systems and scheduling software preferred.  Office management experience required.
