Office Manager/Personal Assistant
We are looking for an energetic motivated individual to be office manager and personal assistant to the lead engineer and lead designer. The position includes all bookkeeping using Quickbooks Pro. The candidate will be responsible for A/P and A/R as well as provide financial reports as required and requested. You will also need a solid knowledge of accounting practices and general ledger entries. We need someone very organized and proactive, not reactive!
We are in the process of opening a construction division, so you will need knowledge of job cost tracking and be able to handle multiple companies.
The assistant to the lead engineer and designer will include typing letters and other documents from dictation, keeping the work load organized with assignments, deadlines, etc. There are other designers in the office which will need support as well. We are a small but growing firm that needs to grow in control and with a professional image.
Other tasks require of this position is to maintain the office in a neat and orderly fashion at all times so that clients see the professionalism in our office environment. Once the candidate has all bookkeeping in control, the work load is very manageable. The hours are 8:30 - 4:30 Monday through Friday with an hour off for lunch. Basically, thirty five hours a week unless additional time is required for special situations.
The software we use includes: Quickbooks Pro, Microsoft Office Suite, AutoCad, Invisioneer and PDF-XChange Editor. The candidate will need to have a good working knowledge of all but AutoCad and Invisioneer.
The position is needed to be filled immediately.
We are a small design and engineering firm. We design everything from custom houses to multi-story steel structures. We perform structural, mechanical, electrical and plumbing engineering. We are growing and need good staff to continue growing with the quality product we offer.
