Occupational Summary

Provide overall administrative management and coordination of a variety business related functions such as finance, budget, supervision of personnel, space and facilities planning, maintenance and policy interpretation and dissemination of a large, complex and active University department. This position will report to the Vice Chair,Finance and Administration.

Work Performed

Supervise and coordinate work of designated employees including the administrative support staff and departmental reading room staff; manage personnel activities to meet University and departmental objectives in training, equal pay, equal employment and wage and salary administration; advise on employment terms of faculty and administration of appointment procedure. Assist with departmental budget needs by analyzing various projects and programs on both a short and long range basis including projecting possible levels of support from multiple sources of funding.Responsible for FAM validation process, including maintaining the Internal Control Environment document(ICE) and performing all associated analytics. Assist with onboarding of new faculty and staff to ensure a smooth transition into the department. Coordinate all phases of the new hire orientation process. Maintain interface with departmental personnel to coordinate operational activities to ensure adequate manning, space and facilities; coordinate purchasing, maintenance and renovation activities for thedepartment; administer a program of property management and accountability.Determine fiscal requirements for various programs and projects,monitor, verify and reconcile expenditure of budgeted funds; prepare various financial reports that reflect the status of programs and activities; and ensure compliance with University policies and procedures.Serve as departmental liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration and budgetary preparation and control.Represent department head in meetings and conferences and other affairs of an administrative nature.Prepare reports and analyses to include financial reports, setting forth progress, adverse trends and appropriate recommendations or conclusions.Perform other related duties incidental to the work described herein. Education/Training:
Work requires a general business back ground generally equivalent to abachelor'sdegree in a business related field.

Experience:
Work requires 4 years related business or administrative experience to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.
A master's degree in a business related field may be substituted for 2years experience.OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OREXPERIENCE
