Bachelor’s Degree. Three (3) years of administrative experience as an assistant to an Executive within a public sector, non-profit or higher education setting. Proficiency in Microsoft Word, Excel, PowerPoint, Visio and Outlook. Experience maintaining confidentiality in all areas of responsibility. Experience interacting with individuals at various levels within an institution as well as the general public.

Preferred Qualifications:
Master’s Degree. Additional years of administrative experience as an assistant to an Executive within a public sector, non-profit or higher education setting. Experience working with campus computer systems (i.e., Peoplesoft, TMS, Wolfmart, GoogleApps).

Brief Description of Duties:
This position will serve as the Executive Assistant to the Dean and will provide executive oversight and management to staff responsible for coordinating activities of the Dean and the Dean's suite. This position also coordinates advancement and alumni activities, project manager on select School of Nursing (SON) projects and serves as a point person for International programs. Successful incumbent will have outstanding written, verbal and interpersonal communications skills. He/She will have strong organizational skills with exceptional attention to detail and demonstrated leadership skills. The incumbent will be expected to maintain a courteous and helpful approach when dealing with faculty, staff and student and adheres to University's and SON's mission, vision and values.

Duties:

  • Provides principle administrative support to the Dean and supports the activities related to the Office of the Dean by handling all administrative matters for the Dean, following all confidentiality policies and procedures.
  • Serves as primary point of contact for the Dean with Faculty, Staff and Students in the School, as well as, individual and professional organizations outside the School of Nursing.
  • Facilitates efficient and professional flow of information.
  • Manages the Dean’s calendar, arranges conference calls, meetings and conferences.
  • Prepares paperwork which is sensitive and confidential in nature.
  • Screens and evaluates incoming correspondence and prepares responses on behalf of the Dean.
  • Represents the Dean’s policies to constituencies within and outside of the University.
  • Provides administrative support for committees for the Dean.
  • Coordinates, oversees and directs state reports, surveys and other activities related to the School’s business.
  • Submits reports to regulatory and credentialing agencies.
  • Provide executive oversight and management to the Staff responsible for coordinating the activities of the SON Advancement and Alumni Association events by working closely with the Dean.
  • Provides administrative support to monthly Alumni Association meetings.
  • Coordinate and implement annual Scholarship and Award ceremony.
  • Assists with the development of the SON annual report to donors and alumni.
  • Lead project teams in development, implementation and evaluation of select project(s).
  • Evaluate effectiveness and success of assigned projects for future enhancements.
  • Review and manage and coordinate funds for projects. Ensure project documents are complete, current and stored securely and appropriately.

Special Notes:This is a full time appointment. Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
