Job Summary:
The purpose of this full-time, state classified Administrative Assistant III is to function as the Work Lead and will assist the Manager of the University Mail Center will provide general administrative support to the manager and mail center team. Help solve problems concerning mail issues, customers and staff. This position will be responsible to manage departmental business services, train staff and stay current with the technical aspects of the mail center which will include the current metering processes and the employee, the current package delivery system, the USPS contracted Kiosk in building 500 and the employee, and will monitor all 3rd party contracts. Respond to customer complaints, requests for new mail stops, mail keys, repair of all mail boxes on Anschutz and downtown.

Examples of Work Performed:

Postage Metering:

Ensure that staff applies appropriate postage to all outgoing mail following the USPS rules and regulations, including international postage. Position is responsible for the oversight of handling up to 300 packages and mailings per day and training of the employee that operates the metering machines to accurately apply the correct postage necessary with little to no errors. Investigate and upgrade current metering system with up to date technology and create excel spreadsheets to track finances. Responsible for purchasing all inventory associated with metering, will oversee the new Pitney Bowes contract and keep up with the maintenance required on both machines as well as participate in training necessary to keep the mail center operating most efficiently. This position must follow USPS guidelines and regulations including the operating of a Pitney Bowes metering unit.

Postal Kiosk:

Responsible for the Postal Kiosk staff and ensuring we continue to provide excellent customer service to all walk-up customers. Stay current on all USPS rules and regulations, attend meetings with the USPS as necessary for training. Work with the staff that operate the kiosk and ensure that they have all materials necessary, resolve customer issues, handle scheduling conflicts that come up with the staff at the Kiosk and make sure there is coverage at all times as well as train on upgraded systems as needed. Responsible to learn the new computer systems . Responsible for the kiosk weekly deposit that goes to finance in the Campus Support Services Building. Responsible to handle all complaints and issues that come up at the Postal Kiosk.

The Feet 3rd Party Vendor:

The Feet is a 3rd party vendor that delivers all intercampus mail to our client's downtown. This is a contracted service, this position will be responsible to ensure that staff has mail sorted and ready for pickup by The Feet, all deliveries are made without incident, this position will need to know how to handle any issues that occur with mail, handle all complaints from the end users.

Salary and Benefits:

Hiring Salary: $3,384 / month (non-negotiable)*

*The salary offered is usually the minimum listed, however, a salary above the minimum may be offered for some hard to fill positions.

Minimum Qualifications:

Three years of general clerical experience.

Colorado law requires that candidates for state government jobs be residents of Colorado at the time of application.

Substitutions:

College or university course work, appropriate to the work assignment, may substitute for the experience on a year-for-year basis.

  • Must be willing and able to pass a criminal background check, motor vehicle check and drug test.

  • Must possess and maintain a current, valid State of Colorado Driver's License.
