Rowan University is a comprehensive state-designated research institution with approximately 16,000 students.   • Transportation
    a. Work with Associate AD
    b. Communicate with coach for travel time and vehicles to be used
    c. Contact rental companies for contracts
    d. Verify transportation bills and team that used it
    e. Report problems
    f. Schedule transportation for all teams through either Rowan’s SGA vehicles or our vendor
    g. Confirm dates, times, destinations of away contests
    h. Keep records of all transportation for future reference
    i. Submit travel rosters to accounts payable to acquire checks for meal money
  • Schedules
    a. Type by team and indicate date of preparation
    b. Keep copy for files and send one to AD
    c. Prepare master schedule on calendar by season and indicate transportation etc.
    d. Do paperwork for all officials for home events (PSC & MDV’s)
    e. Contact and follow-up with officials if paperwork is missing
    f. Type schedules for all Intercollegiate sports contests
    g. Make corrections (on-going) and make sure all concerned are contacted
  • Officials
    a. Send schedules to assignors as requested and on time
    b. Prepare notification and verification forms and send to officials
    c. Report any discrepancies
    d. Prepare MDV’s as assignments are received
    e. Contact assignors with any problems and schedule changes
  • Work orders
    a. Input work orders into School Dude
    b. Follow up
  • Student workers
    a. Hire student workers in the Athletic Department – approximately 60 – 70 workers
    b. Process paperwork for each and keep records
    c. Process timesheets bi-monthly for each student
    d. Keep account of IWS, FWS and hourly workers salaries
  • Contracts
    a. Create contracts from schedules
    b. Email contracts to each opponent’s schools
    c. Keep updated records
  • General Office Work
    a. Supervise student workers in athletic office
    b. Type correspondence, reports and recommendations of confidential nature as requested by AD or other administrative staff
    c. Ability to work with the Associate and Assistant AD’s in the absence of the AD
    d. Obtain pertinent materials, information, statistical date, etc. from files and other sources and put into presentable form for the review and use of the Assistant AD’s as requested
    e. Act to relieve the AD of details by providing information to those requesting it including divisional personal, state and local groups, general public, etc. in accordance with established policy
    f. Will be required to use all aspects of the computer and various programs

  • Candidates will be required to take and pass a typing test at 40 wpm or higher or show proof of passing a NJ CSC test or Rowan University typing test in the past. The test will only be scheduled for candidates selected for interview.
Preferred Qualifications:
  • Knowledge of Banner, School Dude Work Order System
  • Previous experience with Microsoft Office products (Word, Excel, Access)
Knowledge and Abilities:
  • Knowledge of secretarial and clerical routine, procedure and practices, and their application to specific situation
  • Ability to type correspondence and reports frequently
  • Ability to act in a confidential manner to a manager and/or supervisor and to relieve him/her of office detail
  • Ability to organize clerical work, sometimes of confidential nature
  • Ability to communicate with visitors, schedule appointments, and process requests for information in accordance with established procedures
  • Ability to prepare routine correspondence
  • Ability to prepare statistical and other reports
  • Ability to maintain confidential, follow-up, and other files
  • Ability to use the computer and various programs, including Excel
  • Ability to work with sales representatives from various companies
  • Ability to work with and communicate with coaches and student athletes and maintain a professional image and rapport
  • Ability to work under pressure, meet deadlines and produce accurate information within short time span
