Chemeketa Community College welcomes applications for a full-time Registration Assistant – Enrollment Services

Position Summary:

Chemeketa Community College is seeking a qualified candidate for a Registration Assistant position working in Enrollment Services. A successful candidate will be detail oriented and have the ability to provide outstanding customer service in a fast-paced and diverse team-environment.  Problem solving abilities, good communication, a positive attitude, and a strong work ethic are characteristics which are highly valued our office.

This position serves as front line, specializing in processing student transactions; processes registrations; add/drops; receives and processes payment; balances, deposits, and refunds; distributes and intakes forms. Provides assistance to students, staff, and the public for services related to general college and department information and refers to resource person as appropriate.

ESSENTIAL FUNCTIONS: 

Embraces diversity and actively collaborates effectively with a variety of students, staff and the public from diverse cultural, social, economic and educational backgrounds
Actively participates in the retention and recruitment of students
Embraces appropriate technology tools to accomplish job functions; understands and utilizes available technology as communication and data gathering tools
Registers and enrolls students using administrative software system (Banner); processes add/drops; builds and updates student records; uses Axiom software to process student applications; reviews, approves and processes Administrative Add/Drop requests; provides back up in the review and approval of Petitions for Exception to College Policy; processes enrollment verifications, and distributes and intakes forms as needed.
Intakes and processes general admission, limited enrollment, underage student, and dual enrollment applications according to procedures.
Assists with grade monitoring; processes grade changes, audit requests, pass/no pass requests; processes transcript requests; researches and verifies outgoing transcripts.
Provides college-wide customer service to students, staff, and/or outside individuals for the Enrollment Center. Receives monies and processes accounting transactions using Banner and Nelnet (QuikPay) software; maintains, and balances cash till; prepares deposits; may process refunds according to college policy, procedures and guidelines
Researches problems with student records in Banner, QuikPay, Axiom, Parchment and any other software that our department utilizes, and makes correcting entries to student accounts/records as appropriate to ensure accuracy; may prepare summary reports
Provides customer service related to general college and specific departmental information in person, on the phone, and via e-communications to students, staff, and/or outside individuals. Advises students and staff of college policy and federal regulations related to academic records, making necessary referrals; researches and problem solves student account issues; keeps current on departmental and college-wide policies and procedures
Performs a variety of clerical work in maintaining accurate and detailed records and documents related to student records both physical and electronic
May assist in the ongoing archival needs of the department including boxing, labeling, and transporting items to the departmental archives location as well as organizing location to maximize space and access needs
Assembles, types, copies, files, distributes, tracks, and proofs forms, materials, and other documents in a prescribed manner; monitors and maintains supply of forms for the department
Trains part-time hourly, student employees, and other staff and remains an ongoing resource
Performs all other job related duties as assigned

OTHER FUNCTIONS:

May assist with special projects or other related duties as assigned
May use LEAN principles and methodologies

Salary

$2,433.00 - $3,501.00 Monthly

Requirements

High School Diploma/General Equivalency Diploma (GED)
-AND-
Two years of experience in public relations or customer service environment
-AND-
One year experience in clerical work involving computers and some cashiering
