Maintain facility and operations

  • Improve and maintain the facility through management reporting, information flow and management, and organizational planning
  • Manage LEED, CDE and NAEYC compliance for all aspects of the building
  • Conduct daily walk throughs of the entire facility (indoor and outdoor) to determine needs; schedule related maintenance; take care of safety items immediately
  • Maintain equipment by completing preventive maintenance; troubleshoot failures; call for repairs; monitor equipment operation. Maintain facilities supplies and equipment by checking stock to determine inventory levels; anticipate requirements; place and expedite orders; verify receipts; stock and store items; deliver supplies to work stations; manage building keys; prepare facilities pamphlets, flyers, manuals, and handbooks
  • Manage traffic flow during daily student drop off and pick up
  • Maintain school vehicles

Lead, Collaborate with, and Serve Others

  • Assume responsibility for security planning and management in conjunction with the Department of Campus Safety, including fire drills, alarm systems, updating of emergency response protocols, scheduling drills
  • Liaise with and monitor outside and DU vendors, such as DU Support Services (for example HR, facilities team, finance, UTS); coordinate and communicate support for Ricks; manage room scheduling
  • Engage in regular meetings with Director and leadership team around facilities planning
  • Lead short- and long-term facilities planning and strategy, including the DU project flow process through all of its stages
  • Serve community needs by backing-up receptionist; answering questions; forwarding messages; keeping community informed
  • Supervise front desk and work study staff

Record-keeping, Planning and Budgeting

  • Process facilities such as expenditure claims and logs, spending reports, purchase requisitions and online supply orders; maintain databases and records, other related information for school and community needs
  • Manage student information system and employee files
  • Manage the Ricks facilities budget and planning in coordination with the Director and Morgridge College of Education financial team
  • Manage day-to-day processing of accounts; produce reports as requested; disburse payment for expenses; manage payroll; organize fiscal documents; ensure that Accounting Department requests are resolved and communicated in a timely manner to internal and external parties; oversee organizational insurance policies

Event Planning

Required Qualifications

  • Experience working in facilities management in a school environment
  • Strong background and work experience in project planning and management, bookkeeping, and office management

Preferred Qualifications

  • Excellent computer skills and proficiency in Microsoft 365 applications
  • Excellent communication skills both verbal and written
