Job Description Summary

The Support Specialist role provides customer service and technical support for the Counseling, Psychological, & Access Service departments.



Job Responsibilities

Provides and assists current and prospective students with access to counseling services

Suggests interdepartmental referrals

Answers questions and inquiries from students, prospective students and counselors

Submits electronic notifications to counselor

Enhances center communication among staff members, counselors and director by communicating concerns constructively and respectfully

Schedules student counseling, transfer, and psychological appointments

Sign in, screen and maintains walk-in requests and crisis situations

Greets and handles the check-in process for students

Maintains and inputs student information in the scheduling and reservation system

Inputs, retrieves, scans and images documents into the Banner system

Maintains Counseling Center records

Provides administrative support by retrieving and preparing routine counseling documents, performs record searches and conducts reminder phone calls

Works collaboratively to ensure counselor access to students' academic records

Assist in preparation of orientation documents, materials, and folders

Supplies customer service functions to students pertaining to blended orientation

Removes orientation holds in the BANNER system

Enters counselor schedules and monitors change requests

Participates in cross-training and technology training within the Counseling Department

Attends Office of Training and Development customer care workshops

Assist with conduction New Student Reviews

Maintains Departmental Front Desk Procedure Manual

Performs other related duties as assigned within the scope of the job classification and assigned grade



Required Qualifications

High School diploma or GED

Minimum of two years of clerical experience in an office environment

Excellent verbal, written, interpersonal communication and problem solving skills

Skills in keyboarding, basic grammar, math, and basic level word processing (MS Word)

Attention to detail and accuracy

Excellent organizational skills

Experience working in a high volume customer service atmosphere

Sensitivity to respond appropriately to the needs of a diverse population



Preferred Qualifications

Associate’ s degree

Experience in Banner, SARS, and One Record navigation

Experience working in a higher education environment



Work Schedule

The work schedule consists of the ability to work hours Monday through Friday from 8:30AM to 7:00PM timeframe, including some weekend shifts. The incumbent will be required to work one of the two shifts offered in the department.



Target Hiring Rate/Salary Minimum of $15.47/per hour

Special Note

This is a Part-time (1199/ SEIU ) Bargaining Unit position, Grade 05. Full Time (1199/ SEIU ) bargaining unit employees at Cuyahoga Community College will be considered first for vacant positions.
