The Biomedical Engineering (BME) Department at the University of Connecticut invites applications for an Administrative Services Assistant 3 (UCP 4). The BME Department ( offers an ABET-accredited undergraduate major as well as masters and doctoral degree programs in BME.

Job Summary:
  • Coordinate BME graduate program and all aspects of the application and admission processes in accordance with departmental goals and objectives;
  • Enforce policies and develop procedures related to graduate program management, updating of course catalog, and processing of student graduation documents;
  • Manage graduate program records;
  • Identify problems and make recommendations to the Director of the BME graduate program; schedule graduate courses and classrooms for department faculty;
  • Serve as a resource to students, parents, faculty, and other University staff and administrators on matters relating to the department's graduate educational program;
  • Update and maintain graduate and faculty portion of department's website;
  • Process all paperwork for foreign visa applicants for faculty and visiting researchers; process graduate fellowships;
  • Manage facilities issues for department; coordinate visitor schedules and make travel arrangements;
  • Process yearly PT&R (Promotion, Tenure, and Reappointment) paperwork for faculty members;
  • Arrange departmental events, catering, and meetings; perform various other related duties as required.
  • Manage BME main office reception area; receive visitors and answer departmental in-person, phone, and email inquiries and disseminate information as to correct departmental policy and procedures;
  • Handle all ordering of equipment and supplies for department (large-volume) and be responsible for associated tracking/basic financial record keeping;
  • Assist in the search process for hiring of new faculty and staff: position posting and advertising, application tracking, setting up of interview schedules, and completing the hiring procedure;
  • Process all financial and travel reimbursements for department and approve faculty travel requests;
  • Coordinate weekly graduate seminar;
  • Perform other related duties as assigned.

Minimum Qualifications
  1. Bachelor's degree OR equivalent combination of education and experience including at least 4 years of experience in a progressively responsible administrative support position.
  2. Excellent interpersonal skills and ability to work effectively with the department/University staff and other individuals and groups.
  3. Ability to resolve administrative problems efficiently, effectively and independently.
  4. Excellent writing skills and attention to detail
  5. Excellent computer skills and proficiency with Microsoft Word, Excel, and Outlook.
  6. Demonstrated ability to work in a team environment

Preferred Qualifications
  1. Familiarity with online financial and student records systems.
  2. Financial record keeping experience.
  3. Previous experience in student admissions.
