Assistant Director of Trust and Estate Administration Office of Gift Planning, Trust & Estate Administration Duke University Development

Occupational Summary

Assist the Trust & Estate (T&E) Administration team with a wide range of tasks related to Trust & Estate Administration functions within Duke's Office of Gift Planning in University Development. The Assistant Director will serve as a resource for staff in Development and the University regarding Duke's Life Income and Bequest Programs. The Assistant Director will work in support of the Associate Director, and will work independently, responding to inquiries regarding complex gifts between donors and Duke University. The Assistant Director reports to the Associate Director of Trust & Estate Administration.

Trust & Estate Administration (90%)
Assist with the Estate Administration Program.
Serve as liaison between the family, advisors, other professional parties, and internal departments.
Review trust accountings, wills and trusts.
Draft bequest related endowment agreements.
Draft correspondence to internal and external parties regarding Duke's interest in trusts and primarily estates.
Review and maintain department databases to ensure proper recording and tracking of estate gifts.
Assist with management of the high volume of Duke's Life Income Gift Program which includes charitable trusts, gift annuities, and pooled income funds, as well as a number of trusts managed outside of Duke.
Assist Associate Director in the processing of new accounts, close terminated accounts, process donor statements, interact with donors and beneficiaries, provide detailed account analysis, and maintain the accuracy of the department databases.
Prepare and edit documents and communications in response to donor inquiries in a timely and pro-active manner.
Support the Associate Director by providing information and/or responding to complex questions from donors and university staff regarding transfer of gift assets, tax questions, and new gift arrangements.

Miscellaneous (10%)
Manage special projects and other duties as directed by the Associate Director of T&E Administration.
Work with the Senior Director of Gift Planning Relations to monitor and steward over 300 life insurance policies with an eye toward new gift development.
Assist Associate Director of T&E Administration with management of Duke's Donor Advised Fund program once launched.
Work with the Senior Director to support the implementation of a comprehensive stewardship plan for the department.

Qualifications
Work independently in the preparation of gift documents and donor communications. Work requires the ability to work independently to respond to inquiries and in the analysis of account information.
Must understand the need for attention to detail.
Must be able to prioritize and multitask -- all while providing excellent service.
Excellent verbal and written communication skills essential.
Ability to handle donor calls and independently generate follow-up communication.
Friendly, helpful, problem-solving personality.
Creative outlook to complex issues.
Ability to work with financial data and excellent mathematical/analytical skills.
Familiarity and comfort using databases also very important.
Proficiency with Microsoft Word and Excel.
Outgoing personality/good interpersonal skills, with the ability to build relationships with individuals and across the university.
Flexibility and the demonstrated ability to thrive in a fast paced environment.

Strong personal work ethic and unquestioned personal integrity.

Education & Experience
Bachelor's degree required, Paralegal or Trust Officer experience is preferred.
Two years of experience in trust and estate administration, estate planning or financial planning, including familiarity with trusts and wills, accountings and income taxation required. 3 years experience preferred.
