This position provides financial support for the Alliance, the DCI Department of Biostatistics and the DCI Department of Bioinformatics. Effective management of the assigned projects and portfolios requires the use of independent judgment and discretion to make decisions that affect compliance and successful completion of research projects.
Responsibilities and Expectations
Pre-Award Activities - Prepare grants and contracts as needed and directed by the administrative manager and Directors. Compile and collect pertinent data for submission. Assist with keeping up-to-date support and salary information. Prepare and review specified proposal elements (other support, biosketches, etc.) for accuracy and completeness. Review sponsored projects through SPS for budgetary comparison and accuracy. Make sure all proposals meet university and agency guidelines.
Post-Award Activities - Reconcile monthly financial statements for accurate reporting of revenue and expenses using the FAM system. Assist with formulating short and long-term financial goals for each individual unit. Coordinate all year-end closing consistent with university process and timelines. Team with administrative manager to prepare annual departmental budgets. Post and file invoices and corporate card transactions accurately and in a specified time frame; provide monthly revenue and expense reports of grants and subcontracts on a regular and timely basis; maintain financial records per the institutional documents retention guidelines; manage overdrafts in line with procedures and institutional guidance; perform other financial duties as assigned.
Divisional Budget Reports - Monitor compliance with agency and University regulations regarding reporting. Collect and compile invoices and data for divisional budgets, making sure all expenditures are appropriately charged. Obtain a backup copy of all transactions and expenditures, coordinate departmental unit budgets for distribution on a monthly basis; report findings to administrative manager in a professional and courteous manner. Provide income and expense reports to the directors of DCI Biostatistics and Bioinformatics on a monthly basis or as requested. Perform other duties as requested.
Personnel/Record Maintenance - Manage staff effort reporting, keep up-to-date support on faculty and staff personnel, assist in maintaining personnel records, maintain all staff effort distribution and cost transfers and iForms, performs other personnel duties as requested.
Serve as back up for Project Coordinator in setting up meeting, scheduling appointments, ordering supplies and making travel arrangements.
Other work as assigned.

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program. Research or grants education and/or certification is preferred. Successful completion of Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (on-line), Basic Compliance (on-line) within first six months of hire is required. Successful completion of the Research Administration Academy (RAA) is required. Employees hired into this classification without RAA training will work closely with their manager to schedule and complete the training within 12 months of start date. The expectation is that the staff member will maintain the requirements for their level. Failing to meet these requirements will be addressed through the performance review process. Upon successful completion of expected training, the employee must maintain certification(s) by completing continuing education requirements.
No experience required for candidates who possess a Bachelor's or Master's degree in a field of study directly related to the specific position.
A qualified applicant should be knowledgeable in both pre-award and post-award process and compliance for pre-clinical and clinical projects. Knowledge and experience in using Duke systems such as SPS, R3, grants.duke is strongly preferred.
