Occupational Summary

Work with the Director of Research Administration Services to provide functional leadership for the School of Medicine implementation team and the School's Research Administration Support Resource Group (RASR) in supporting decentralized units across SOM with their efforts to implement new technologies, policies, and business process enhancements as well as provide guidance, expertise and support services in research administration to departments within the School of Medicine. Perform extremely complex process analysis functions, documenting existing processes and making recommendations based on best practices and appropriate data. Work with the Director of Research Administration Services to create infrastructure for management center/SOM oversight. Partner with departmental leadership to facilitate operational changes that result in effective and efficient service to the faculty, streamlined process within the unit and to/from central offices. Evaluate impact of process changes in terms of criteria that may include budgetary, customer service, optimization of organizational structure, effectiveness, efficiency, and compliance.

Work Performed

Unit Business Process/Policy Analysis (departments, centers, institutes).
  1. Business Process Analysis
  • Map current business process to provide a foundation for defining business activities and improving business processes.
  • Document inefficiencies or gaps in existing processes and recommend specific changes to achieve improved efficiencies. Perform data collection and analysis to assess progress. Lead team efforts for analytical reviews.
  • Define and quantify specific cost savings opportunities from instituting process changes; recommend improvements/changes supported by well documented business plan.
  • Assist line managers with implementation of emerging business process improvement processes, business intelligence tools and related systems.
  • Partner with internal and external resources to drive change process, assisting with communications and training requirements as necessary.
  1. Implementation of New/Changing Policies
  • Assist line managers with implementation of policy changes.
  • Partner with internal and external resources to drive change process, assisting with communications and training requirements as necessary.
  • Assist supervisor and other colleagues in the coaching and support of departmental leadership and staff with respect to preparedness assessments, creation of new standard operating procedures and development of relevant metrics. Conduct training efforts in support of approved initiatives.
  1. Rollout of New Technology Tools
  • Assist line managers with implementation of business intelligence tools and related systems.
  • Partner with internal and external resources to drive change process, assisting with communications and training requirements as necessary.
  • Share results of implementations with others and recommend changes based on experience and evidence. Provide written reports and deliver presentations consistent with the scope of the work.
Management Center/School Business Process/Policy Analysis. Serve as a Liaison on behalf of the SOM Implementation Team to departmental leadership in strengthening their research administration practices and operations specifically with post award management.
  • Identification of systemic process issues and barriers to clean closeout.
  • Facilitate issue resolution within and across departmental units
  • Facilitate issue resolution within management center central offices well as institutional central offices (including OSP, ORA, DOCR, etc.)
  • Evaluate and identify organizational structures, assignment of research administration work within the unit, opportunities for shared services within and across units to improve service to faculty, evaluate administrative efficiency in unit and central roles to improve effectiveness and efficiency of research administrative process and increase process consistency across units.
  • Provide support, guidance and expertise in research administration to various departments that are requesting services from the RASR group within the School of Medicine.
  • Advise the SOM leadership team and the RASR Group on a regular basis on concerns or potential obstacles.
  • Determine reporting needs, frequency of report distribution, actions to be taken, and approach for escalating issues to senior leadership. Assist with the supervision and management of staffing within SOM Implementation Team members.

Education

BA/BS degree in Business or related field or equivalent combination of education and experience.

Experience

Four years of related process analysis, activity assessment/redesign. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferences:
  • Experience in research administration/grants management in an academic medical center
  • Demonstrated experience with federal research financial policies and regulations, OMB circulars and guidance, and with external sponsored requirements
Skills:
Business process analysis competencies including advanced topics with Excel and/or enterprise data management systems.
Demonstrated experience with process mapping, evaluation of inefficiencies and the identification of creative and cost-effective alternatives.
Evidence of success as a sole contributor and as a member of cross-functional teams.
Excellent written, oral and conversational communication skills to effectively work with diverse groups.
Ability to analyze, evaluate multiple solutions and solve complex problems using judgement and well developed critical & analytical thinking skills
