General Description of Position: The College of Veterinary Medicine at Kansas State University is seeking applicants for a Grant Accountant. This position manages the accounting for all college grant accounts. This includes account setup, accounts payable, accounts receivable, account reconciliation, and financial reporting. In addition, this position manages academic department schedule of charges. Job Description: FISCAL OPERATIONS AND MANAGEMENT RESPONSIBILITIES FOR COLLEGE GRANT FUNDING:

• Oversees department fiscal operations related to grant funding including all accounting expenditures, budgeting and reporting for the following areas of the college:

     o All academic departments (Anatomy and Physiology, Clinical Sciences, Diagnostic Medicine/Pathobiology, Dean’s Office)

     o Veterinary Diagnostic Laboratory

• Reviews all vendor payments being made with grant funds

• Advises personnel in the resolution of problematic situations with financial and/or customer service issues

• Reviews and implements changes in procedure to ensure compliance and increase effectiveness

• Preforms monthly reconciliation and review of CVM accounting system and FIS to confirm accuracy and to determine that costs do not exceed the approved budgets

     o Analyzes and reconciles any difference between the systems and processes the appropriate transfers to make needed corrections

• Works in conjunction with college Grant Managers to monitor activity and resolve issues relating to expenditures and account balances of grant funds

• Prepares and processes Memorandum of Agreements and related Prior Authorization Forms when a vendor contract needs established or renewed

• Establishes new accounts and budget codes in the CVM accounting system and monitors all entries to ensure accuracy is maintained 

GRANT REPORTING AND ANALYSIS:

• Prepares and analyzes financial summary reports, budget reports, and projects cash flow (payroll, operating expenses, service income), both on a monthly basis and on demand

• Provides input into management decisions related to the allocation of funds to projects and activities, historical trends in operating expenses, and for the operating divisions management decisions

• Completes an in-depth fiscal analyses at the close of each fiscal year to determine specific departures from historical trends and underlying circumstances that account for those departures

• Monitor accounts to ensure categories are not overspent

• Communicate with PI and HR Manager to ensure payroll is charged an transferred as needed and appropriately on all grant accounts

• Work closely with Grant Specialists regarding grant award setup and grant end preparation and reporting

MANAGEMENT OF ACADEMIC DEPARTMENT ACCOUNTS RECEIVABLE AND SCHEDULE OF CHARGES:

• Oversees the billing records and operations for the Departments

• Advises faculty and staff of service options and break-even pricing concept

• Prepares and updates schedule of charges as needed

• Assists in problematic billing situations as needed

COLLEGE ACCOUNTING:

• Stays abreast of state policies and procedures for accounting

• Provides assistance in training unit and department staff in state and university regulations relative to budget and accounting policies and procedures

Required Minimum Qualifications: This position requires a High School diploma (or work equivalent) and a minimum of two years of accounting/auditing experience. Ability to work independently and have excellent written and verbal communication skills is required. Preferred Qualifications: Bachelor of Science Degree in accounting or finance related field.
