Position Information  

This is a full-time, permanent (probationary) position.

Special Working Conditions:  May be required to work extended hours and/or Saturdays as part of your job description.  

Salary Range and Max Salary

The salary range for this classification is:  $2,539 - $4,120 monthly.  

Conditions of Employment   The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Due to the nature of this position, the successful candidate is required to complete a background check prior to assuming this position.

Department:  Admissions Office

The Office of Admissions is a major unit within the Division of Enrollment Management and Student Services and is responsible for Application Processing, Scanning Transcripts and other Documents, undergraduate and graduate admissions, Transfer Credit Evaluation, Special Sessions, special programs, evaluation of academic credentials applicable to admissions and graduate requirements, maintenance of student records, enrollment verification and compliance with INS regulations governing admissions and enrollment of international students.   Major Duties   Under general supervision of the Admissions Director, the incumbent performs a variety of clerical functions within the Office of Admissions relating to the processing of student applications and records. The incumbent receives, reviews, integrates and prepares documents for the preparation of scanning, indexing and People Soft data entry. Establishes and maintains printed and imaged student records; posts documents received, residency review, fee waivers, application clean up, admissions appeals, data entry of transfer credit units, determines eligibility of freshman, and does other related work as assigned. Additionally, this position requires interaction with potential students via phone, email and in person.  


Minimum Qualifications:
Required Education:  High school program or its equivalent

Preferred Education:  Vocational training or college level course work is highly desirable.

Required Experience:  Some experience in an office environment.

Preferred Experience:  Two years of previous experience in a university Admissions and/or Records Office.

Required Knowledge, Skills, and Abilities:
Knowledge of:
- Thorough knowledge of office methods, procedures, and practices.
- Thorough knowledge of English grammar, punctuation, and spelling.
- Standard and computerized office systems and equipment. 

Ability to: 
- Coordinate various clerical tasks
- Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
- Demonstrated competence in effectively presenting standard information in writing.
- Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
- Establish and maintain effective working relationships with others.

Skill in:  Type at a correct rate of 45 wpm utilizing standard and computerized office equipment.

Specialized Materials: The position activities may require the use of the following equipment, machinery, tools,vehicles or office equipment:
During the performance of the duties and responsibilities of the position, the incumbent may be required to utilize: computer, photocopy machine, typewriter, multi-line telephone system, imaging and fax machine.  


95% - Day-to-day data entry and clearing of PeopleSoft transactions required by University for Admissions. Review data to determine when sufficient documents are on file, and routing application(s) data as needed throughout the admission cycle.

Works on requests for new and continuing student¿s resident or nonresident questionnaires, AB-540 coding, processing application fees, application fee refunds and application withdrawals.  Enters test scores including SAT, ACT and AP scores into PeopleSoft.  Works to clear the certification report, post transcripts, index transcripts, NSO reports and clean up ERS errors.  Application downloading, moving application and entering paper applications is also required.  Data entry of transfer credit, checklist clean up and other clean up reports as required.

Communicates with applicants on the progress of their application; requests additional documents and discusses with applicant other related problems to facilitate application processing.  Responsible for appropriately corresponding with students regarding the status of their admissions application.

Scanning transcripts, applications, graduation summary forms, residency forms, PRC, Add/drop forms, incomplete forms, restricted registration forms, approval for time conflict, change of grades, name and address change, and petitions.
