The Development Associate (DA) provides administrative and logistical support to the Associate Dean of Development within the College of Engineering (COE). The DA is responsible for managing the Associate Dean's calendar and coordinating travel. Additionally, this position periodically assists other members of the team, including emergency support to staff away from the office on university business and database reporting needs. The DA carries a university-issued mobile phone, to be responsive during non-scheduled work hours to urgent requests and must be available for occasional nights and weekends. The DA also prepares gift documentation for processing, tracks the department's operating budget, and participates in budget meetings.
The DA prepares briefings and organizes itineraries for high-level visits and meetings both on and off campus. This position oversees and maintains accuracy of data and prepares reports using a variety of databases and programs. The DA implements and monitors systems to assure strategic follow up with prospects and donors, and contributes to departmental goals by accomplishing related duties as required.
The position requires maturity, sensitivity, strong interpersonal skills, and a solid work ethic. The individual must be detail oriented, self-motivated and have the ability to prioritize the assigned workload while managing simultaneousness projects in a fast-paced environment. The position is ideal for someone seeking entry into advancement, communications, event planning, and/or fundraising and development. Preceding employees in this role were promoted to higher-level positions within the University Advancement division. The University is seeking a highly motivated, entrepreneurial, energetic individual who can think independently and analytically, and is interested in building a career in advancement, development, fundraising and/or communications. A Bachelor’s degree required plus 2 to 3 years of experience in office management, administration or customer service environment (higher education, development, and/or communication experience preferred). Writing and/or journalism background a plus. This position requires proven ability to manage and facilitate an intense workload and produce quality results in a fast-paced environment with multiple priority projects at once. Must be able to exercise discretion and good judgment when dealing with confidential and sensitive material. Will be proactive, anticipate problems, be resourceful and work effectively with colleagues and external constituents at all levels. Excellent verbal and written communication skills; enjoys working with people and possesses the necessary skills for building relationships with external (donors, prospects, alumni, parents) and internal (deans, faculty, staff, colleagues) constituents; highly collaborative in approach. Strong organizational skills required. Proficiency in Microsoft Office and Microsoft Outlook; Knowledge of Salesforce a plus.
