Duties: The Institute of Contemporary Art (ICA) seeks an Office Coordinator as administrative support for its 22-person staff and interns, printed matter, and book sales fulfillment. The primary responsibilities include but aren't limited to: manage all designed and printed materials (season mailers, posters, announcement cards, etc.); coordinate content, designers, and printers, creating timelines for and tracking the production of printed marketing and public materials; maintain and order office supplies; lead annual mission continuity exercise & maintain Shadow Planner; maintain inventory of ICA publications and artist editions and ensure their timely fulfillment from on-site as well as web orders: packing and shipping purchases regularly and advising on and staffing events like books fairs and onsite publication sales. The position will report to the Business Director but will work across the museum.

Qualifications: A high school diploma or GED and 3-5 years of experience or equivalent combination of education and experience is required. A bachelor degree is preferred. The Office Coordinator must be a detail-oriented, systems-minded, multi-tasker. A well-organized problem solver, friendly and flexible, with excellent and professional written and spoken communication skills will be best suited for this position. The ideal candidate will demonstrate experience developing timelines, implementing systems, scheduling varied partners, and developing workplace cohesion. Interest in contemporary art is a plus.
