Duties: This position reports to the Associate Vice President for Student Services and provides administrative assistance requiring considerable judgment, initiative and confidentiality to the AVP, Business Administrator, and Senior Directors of Student Registration and Financial Services (SRFS). Responsibilities include maintaining schedules; preparing and distributing data reports to university offices; composing correspondence; effectively communicating with staff and outside entities; track and maintain supply inventory, orders, and costs; serve as back up to the Administrative Coordinator for the AVP, and support other areas within SRFS. Apply University and Office standards for customer service in the performance of all job duties.
Qualifications: High School Diploma or GED and 3 to 5 years of experience or equivalent combination of education and experience is required.
Excellent time management and organizational abilities, with strong attention to detail. Thorough knowledge of office procedures, practices and methods. Possess strong interpersonal skills, with ability to deal effectively and appropriately with diverse constituencies including administrators of all levels, faculty, students and families. Exercise discretion in working with confidential and sensitive matters. Excellent communication skills a must. Required knowledge of Microsoft Office Suite, with Project and PowerPoint a plus. Knowledge of Penn's systems a plus. Must be a self-starter, resourceful, and react quickly in situations needing immediate attention. Have the ability to anticipate department needs, multi-task, and work well across units. Adaptability to work flexible hours if needed. Multilingual a plus.
