About The Unit:

Unit Job Summary: Reporting to the Executive Director of Finance and Business Services, the Executive Analyst will provide executive level support, and oversight and coordination for special initiatives and projects. He/She will prepare and coordinate reports, briefings, and presentations. The Executive Analyst will be called upon to assist in aspects of communications. He/She will research viable industry recognition opportunities for FS and lead the application process. Working collaboratively with the senior leadership team, he/she will help drive strategic priorities forward to achieve Facilities Services (FS) vision of a "national model of excellence" in the areas of Capital Projects Delivery, Finance and Business Services, Operations, and Planning and Sustainability. This will include the monitoring and tracking of FS related requests, information, issues, responses and deliverables. The Executive Analyst will also support the short and long range strategic planning efforts as directed. Essential Functions: Drives and manages strategic organizational priorities. Provides leadership to effectively triage and address emergent issues. Serves as a strategic liaison that manages issues to desired outcomes Assist in the creation of reports and presentations for the President and Board of Trustees. As requested, ensure the executives are strategically, thoughtfully, and thoroughly prepared for meetings; identifying the key priorities for each meeting, compiling necessary data, information and other materials that will assist in reaching those priorities. Ensure that all necessary files, materials and supplies are assembled and organized to promote a successful meeting. Identify, track, distribute and monitor any follow-up items, enabling quick preparation for follow-up and team debriefing. Ensures accurate and timely information flow; works closely with the communications staff. Carefully organize information to ensure a seamless working environment. Partner with FS unit leaders and communications managers to develop and implement appropriate communication plans as needed. Gather and edit materials for various committees and meetings within tight deadlines. Viewed as a trusted confidant that uses discernment when sharing information gained confidentially. Effectively raises issues that merit leadership discussion and/ or attention without compromising, breaking trust and/ or negatively impacting leadership perceptions of the project, progress, matter and/ or individual. Articulate risks and issues comfortably and confidently that could negatively impact timelines for project completion. Work with FS leaders to manage, research, and/or resolve issues that are confidential and sensitive in nature. Work independently to research topics and to prepare written documents for wider circulation as requested. Demonstrates high level performance standards. Participates in high level planning, policy development, problem resolution. Manages and models high performance, high commitment behavior that supports the Mission, Vision and Values of the Facilities Services Department. Work non-traditional hours to meet deadlines and address project coordination. Other related duties as assigned.

Unit Education: Bachelor's degree in Business Administration, Public Administration, Higher Education, Communications or equivalent field and/or related experience required. Graduate degree in Business Administration, Public Administration, Higher Education, or Communications or relevant field preferred.

Unit Experience: Minimum of five years' experience supporting senior level executives required. Strong operational experience with University, facilities organization and/or academic medical center preferred. Familiarity with education, government, or other similar institutions preferred.

Unit Job Function Competencies: Demonstrated experience with preparing executive level reports, memos and graphic materials required. Strong communications experience including verbal, written, presentation required. Familiarity with education, government, or other similar institutions preferred. Familiarity with facilities organizations preferred. Complex project management experience; consulting experience preferred. Demonstrated ability to comprehend the "big picture" while also managing the related small details required. Proven ability to communicate effectively with a wide range of constituencies required.
