Job Description

The Assistant to the CEO performs an array of administrative and clerical duties including scheduling meetings and confirming appointments, booking travel, typing and scanning correspondence, memoranda and meeting notes, and varied personal tasks. This position requires a very detail-oriented person with strong oral and written communication skills, with a proven record of administrative excellence. Must be reliable, punctual and trustworthy with a proactive work ethic. Must work well under pressure and contribute an optimistic attitude to the organizational culture. Person must keep CEO schedule fluid and assure workload distribution and completion dates are met.

Duties and Responsibilities

The Assistant to the CEO can expect to focus in the following areas:
  • Check CEO emails, screen phone calls and take messages
  • Calendar and CRM management
  • Prepare written correspondence, reports and presentations
  • Multi-task, organize and complete projects including personal
  • Plan and organize travel arrangements and meetings by developing itineraries and agendas
  • Input information into the CRM system
  • Maintain compliance with regulatory requirements and follow policies and procedures


The Assistant to the CEO typically requires the following qualifications:
  • Bachelor's Degree or equivalent experience
  • Proficiency with Word, Excel, PowerPoint and Outlook
  • Must be organized, meticulous, detail-oriented and able to multitask
  • Good written and verbal communication skills
  • Team player, able to work well with all levels of the firm, as well as with clients
  • Desire/ability to work successfully in a small company environment
  • Positive attitude and team player
  • Wealth Management experience a plus
  • Prior Contact Management System (CRM) knowledge a plus
