Posting Summary:
The Office of University Advancement at the University of Virginia is seeking an experienced administrative professional to serve as an Office Manager, Development Support, overseeing the provision of staff support in our development office. The individual will work in partnership with development officers in a matrix structure to hire, supervise and manage approximately 16 administrative staff who provide an array of support to fundraisers, including donor communications and stewardship; coordination of travel arrangements; data retrieval and reporting; and other office support functions.

While he/she will serve as the formal supervisor of the team, the Office Manager will work in collaboration with development officers to identify staffing needs and operational goals and ensure the staff supporting each area has the resources, training, knowledge, and skills to effectively meet the needs of each unit and to help ensure their success. He/she will also manage projects or workflow that extends beyond a single unit and recommend and implement effective administrative practices and procedures.

The successful candidate will have very strong organizational skills; familiarity with operational and administrative functions and best practices; and advanced knowledge of Microsoft Office and database functions. At least five years of related experience, including supervisory experience is required. The ability to facilitate conversations, listen and communicate with sensitivity, clarity and tact in both oral and written communications is necessary, as is the ability to work effectively in partnership in a complex organizational structure. Familiarity with advancement principles or practices is beneficial.

Required Knowledge, Skills and Abilities:
Strong knowledge of operational, administrative and financial practices; demonstrated ability to develop and recommend policies and procedures to achieve operational goals.

Ability to synthesize information, provide advice, and address operational needs

Advanced ability to navigate databases, systems, and software, including excellent skills in MS Office (Word, Excel, PowerPoint and Outlook).

Demonstrated ability to effectively listen and communicate to employees, managers, and senior leaders with clarity, tact and sensitivity in both oral and written communication

Ability to establish and maintain work strong collaborative working relationships, as well as work independently

Proven ability to lead, train, provide effective feedback and functionally supervise
