Position Summary
Serve as the primary academic advisor for students during their four years in VSB. Each three member advising team is responsible for advising two catalog years of students (freshmen/juniors or sophomore/seniors). Communicate with students keeping them informed of important deadlines, information and events throughout the entire academic year. Work closely with VSB Peer Advisors and Peer Tutors, as well as coordinate Clay Center advising events, materials, and various mailings. Foster within VSB students a culture of empowerment by promoting individual achievement, responsibility and accountability. Continually assess the needs and interests of VSB students by staying current with trends and technology.

Adapt/improve services offered by the Clay Center as a result of student input, current innovative approaches and national trends.

Duties and Responsibilities

  • Serve as the primary academic advisor for students in two catalog years. Advise/meet students individually and in groups throughout their four years regarding the development and implementation of their four-year academic plan, including curriculum, majors, minors, and resources available. Assist students in their educational progress, exploring service, leadership and extracurricular opportunities, and setting goals. Monitor advisees’ academic progress and maintain accurate student paper/electronic files.
  • Respond in a timely manner to student and parent inquiries. Review study abroad course selections with students in coordination with the Office of Education Abroad (OEA); meet individually with students to review their program of study and degree requirements. Review and process transcript/course information upon receipt from the OEA. Regularly communicate with advisees regarding events and deadlines throughout the academic year, disseminate information to incoming freshmen during the summer, advise regarding registration and course information and important deadlines (i.e., WX). Oversee FAQ/summer mailing to new students, Read to Lead book distribution, pre-matriculated credit review, AP credit review/input, and transfer credits. Develop materials and collateral, including regular notifications submitted to the Clay Center App, and major and minor selection events. Coordinate with student support offices and departments across campus - Learning Support Services, Center for Access Success and Achievement, University Counseling Center, Office of Disability Services, Office of International Student Services - and facilitate student referrals as appropriate.
  • Work with the Peer Advisor (PA) or Peer Tutor program or Advising Events. PA: Work with the PA Executive Board in developing their leadership skills, recruitment of PAs; deliver, review and update initial/orientation training and on-going training and evaluation of the program. Peer Tutors: Work with the peer tutors, manage individual and walk-in office hours; manage Blackboard site and website; work with faculty and campus offices to facilitate and coordinate tutoring process. Advising Events: Work with VSB New Student Orientation, Student
    Resource Fair, and other faculty/student initiatives.
  • Oversee senior audit certification of graduation process, and student notification of their status.
  • Frequent review of services offered by the Clay Center to remain current with national trends, recent technology and campus policies.
  • Perform other duties and assists with projects as assigned.


Minimum Qualifications
  • Bachelor’s degree required.
  • Sincere commitment to developing the academic, professional and personal well-being of students. Excellent interpersonal, written and verbal communication skills required to meet with students, staff, faculty and parents. Ability to work effectively as part of a team in a service environment with frequent interruptions. Skills in setting priorities based on the importance of job responsibilities.
  • Proficiency using Microsoft Office programs.


Preferred Qualifications
  • Experience in undergraduate student academic advising with an understanding of the academic, personal and professional needs of undergraduate students. Minimum of two years of experience in academic advising or related experience preferred.
  • Master’s degree in counseling or a related field; will consider current Master’s candidates.
  • Previous Banner software experience.


Physical Requirements and/or Unusual Work Hours
  • Occasional weekend work required.
