The Payroll Tax and Accounting Analyst is responsible for the processing and reconciliation of payroll taxes, performing payroll account reconciliations, supporting audits, and reporting and analysis of internal operational and external financial information

The position is responsible for supporting controls associated with a $500+ million payroll for 14,000 employees and students, including Princeton University's foreign national student and faculty population of roughly 2,000 people.


Manage the Payroll Tax Filing Process
  • Manage a 3rd party vendor to ensure the accurate and timely submission of the University's payroll-related tax liabilities to federal and state taxing authorities. Establish annual performance review meetings and provide feedback.
  • Engage directly with Federal and State tax regulatory agencies to ensure prompt resolution of issues.
  • Establish and maintain documentation for payroll tax processing procedures.
  • Generate, transmit, and reconcile periodic and quarterly tax file transmissions to the 3rd party vendor. Record and update payroll tax liability worksheets.
  • Communicate and prepare quarterly/annual funding requests in a timely and accurate manner.
  • On a quarterly and annual basis, review and approve quarterly state tax reports.
  • On a quarterly basis, review and approve the quarterly federal payroll tax returns and related reconciliation sheets (Form 941, 941x).
  • Manage the interface with the Accounts Payable process related to payments for moving, and other expenditures to ensure proper recording in the payroll system for quarterly and year-end tax reporting.
  • Prepare imputed interest calculations for year-end reporting.
  • Manage production of year-end reporting procedures including W-2. Reconcile and prepare corresponding W3.
  • Provide backup to producing the 1042s.
  • Evaluate and determine appropriate action to address prior year adjustment. Prepare W-2c forms and file amended returns as needed.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Communicate changes to Federal/State income tax withholding to the team.
  • Communicate changes to tax jurisdiction, unemployment accounts, etc. to 3rd party service provider.
  • Maintain backup and audit trail for all payments and filings.

Reporting and Audit support
  • Collect, analyze, and deliver reporting and analysis on progress against key performance indicators. Facilitate reviews with stakeholders to improve data and process quality.
  • Ensure timely and accurate delivery of monthly, quarterly and year-end reporting deliverables including W2 forms and reports.
  • Optimize query and reporting tools to produce information in an efficient manner.
  • Support ad-hoc data requests.
  • Support internal and external Audits including providing ongoing updates to key stakeholders.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Support documentation for reports inventory

Reconcile Balance Sheet Liability Accounts
  • Substantiate monthly balance sheet accounts.
  • Assist controller team by researching and clearing Cash Account reconciling issues.
  • Identify, research, and clear tax and/or accounting related issues.
  • Collaborate with the Payroll Manager and/or System Liaison if queries, system interfaces, or payment processes are not working properly.
  • Establish and maintain account reconciliations and procedure documentation.
  • Review Account Reconciliations with payroll manager and controller team on a monthly basis.

  • Provide backup support to the Payroll Manager for approving payments, etc.
  • Identify improvement opportunities and support process improvement projects


Essential Qualifications
  • Bachelor's degree or equivalent work experience
  • 3-5 years related accounting and/or tax experience
  • Expertise with using an HRMS-Payroll application
  • Advanced level proficiency with Microsoft Office (Excel, Word, PowerPoint)
  • Experience querying data and/or using ad-hoc reporting tools
  • Attention to Detail

Preferred Qualifications
  • Account Reconciliations
  • Experience working in higher education
  • Experience collaborating with a 3rd party payroll tax filing service
  • Knowledge of non-resident tax compliance as it relates to payroll processing and taxation
