Job Description Summary:

The Institute for Patient-Centered Initiatives & Health Equity at the GW Cancer Center (the Institute) has an immediate need for a Senior Administrative Assistant. This role will provide high-level support to the Institute's Director, supporting the priorities of the office. The role manages the daily activities of the Director, coordinates special projects for the Institute at the direction of Institute staff, and serves as the central coordinator for the Institute externally and internally.

Responsibilities Include

• Serves as the primary point of contact for Institute Director and for external relations
• Answers the Institute main phone line and email, responding appropriately to inquiries and requests
• Ensures Director is organized, prepared for meetings, and kept to a timely schedule
• Serves as meeting proxy for director as needed
• Assist with formatting, proofreading, cross-referencing and other desktop research needs
• Provides scheduling support and administrative assistance to the Director and the Institute staff to include IT support coordination, facilities work requests and meeting room reservations
• Schedules staff and project meetings, including logistical coordination, room reservations and A/V support when necessary
• Compiles and distributes team progress updates and staff meeting agendas
• Assist department staff with processing invoices, travel and expense reimbursements
• Coordinates travel reservations and book/confirm conference registrations
• Ensures equipment is inventoried, accounted for and maintained in working order; facilitate repair orders and calls to IT or Xerox as needed
• Monitors, procures and organizes office supplies as needed
• Tracks staff anniversaries and opportunities for acknowledgment for Director
• Maintains official staff leave records and process PTO requests for approval
• Checks, delivers and reroutes mail as needed
• Plans and coordinates the Marine Corps Marathon fundraising effort, including; oversees the TeamRaiser registration website, recruits for participants, solicits sponsorship, plans pre-race pasta party, race-day logistics and participant support; researchs other charity partnership and fundraising growth opportunities
• Plans and coordinates teams/volunteers for the annual Komen and AVON events
• Coordinates with the Biomedical Communications department for marketing efforts, design support, event or staff photos and printing materials as needed
• Coordinates outreach to institute members under supervision of director to build collaborative research teams across GW
• Other special projects as assigned, such as participating in and assisting with organizing for meetings, projects, presentations, and special events
• The omission of specific duties does not preclude the supervisor or Director from assigning duties that are logically related to the position.

Minimum Qualifications:

High school diploma/GED or equivalent combination of training and experience, is necessary plus 3 years of relevant experience, or a bachelor's degree.

Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

Experience providing administrative support to executive management preferred. Excellent customer service, organizational skills, written and oral communication skills, and attention to detail.
