Duties: This position will provide the Associate Vice Dean and PDM Team with high-level, lead administrative support coordinating meeting logistics, scheduling complex domestic and international travel and travel reimbursements. This role may support events and other initiatives that the PDM Team is engaged in.

He/she will also support the stakeholder survey process. This includes the distribution and collection of the stakeholder survey in collaboration with the PDM Team and Associate Vice Dean.

He/she is responsible for tabulating and reporting on participant evaluations at the completion of a program, and ensures that reports are distributed in a timely fashion.

This position will manage the Exec Ed office. As the first point of contact for Exec Ed, will present a professional demeanor (in person and over the telephone) to greet visitors and triage calls. Will maintain office supplies and stationery.

Qualifications: A high school diploma and 5-7 years of experience, or equivalent combination of education and experience is required. An Associate's degree or two-year college equivalent is preferred. Demonstrated experience providing high-level executive assistant support to team of professionals preferably in an university environment, or equivalent combination of education and experience is required. Experienced, organized, and detail-oriented administrator. Ability to manage a large volume of information and assignments in a fast-paced environment, often with competing deadlines. Relevant project management experience a plus. Understanding of and comfort with using technology to include but not limited to Microsoft Suite (Outlook, Power Point, Word), CRM, virtual office communications tools, space management tools, and Engage.

*Ability to work in a fast-paced, multi-tasking environment with strict attention to detail and accuracy in order to meet often competing deadlines. Proven ability to work under pressure while maintaining a highly professional demeanor, prioritize tasks and responsibilities, manage multiple tasks simultaneously, and meet deadlines.

*Professional presentation and dress.

*Personal initiative and strong work ethic along with highly effective communications skills (verbal and written). Public speaking skills a plus. Demonstrated writing/editing skills with keen attention to detail and accuracy of information.

*Excellent, highly developed organizational skills as well as a friendly, flexible and high customer service orientation.

*Demonstrated ability to work autonomously, work cooperatively and effectively with diverse constituencies. Ability to work early mornings/late evenings/weekends in order to execute deadlines.

*Excellent interpersonal skills and ability to interact effectively with senior level officials, faculty, staff and partners.

*Proven ability to exercise discretion in working with highly confidential and sensitive matters.

*Ability to be a creative, collaborative problem-solver.

*Extensive experience and advanced proficiency with Microsoft Office (MS Word, Excel and Power Point), databases (ideally, CRM), scheduling systems, meeting management systems, virtual office communications tools, Engage and the internet.
