The Office of Diversity & Inclusion at the University of North Texas seeks to hire an Administrative Coordinator I to join our team. The position will work in the University Union and support both the Multicultural Center and the Pride Alliance.Responsibilities of the position include, but are not limited to:General Administrative Duties: * Process all travel needs for supervisors including conference registrations, travel accommodations, vouchers and reimbursements as needed * File documents, keep accurate records and take minutes for various committees and staff meetings * Assist customers with general questions or concerns and serve as a first point of contact for the units * Prepare correspondence, letters, and other documents as requested * Data compilation and report building as needed * Calendar/schedule/meeting coordination* Coordinate arrangements for programs and events including room reservations, food and catering needs and any other vendors needed to ensure effective programming * Prepare work orders for repairs; technology order requests; key requests; telephone maintenance * Assist in management of division's scholarship procedures * Ensure consistent application of policy * Attend training and professional development opportunities as needed to support the division* Maintain Diversity and Inclusion email inboxPurchasing/Procurement: * Process purchase orders, requisitions, IDT/ABAs, and contracts according to university policies and directives. This includes tracking receipt, repairs and storage of office supplies and equipment. * Process co-sponsorships and memberships to support programming, both internal and external * Handle asset control and records retention for the division * Utilize university P-card to purchase all supplies necessary to support the division, reconcile statements appropriately and then serve as reconciler for other card holders in the division Budget: * Track expenditures according to student service regulations, work with various vendors, reconcile accounts and report to supervisors on balances as needed * Budget tracking/reconciliation/reporting * Assist with budget preparation for annual Student Service Fee request HR/Timekeeping/Payroll: * Maintain personnel files on each employee which includes time and attendance records, including leave approvals and balance information * Process epars and HR paperwork as needed for unit employees* Provide support and reminders for timekeeping/payroll issues to ensure smooth entries and approvals * Training and supervision of students and volunteersThe University of North Texas System is firmly committed to equal opportunity and does not permit - and takes actions to prevent - discrimination, harassment (including sexual violence), and retaliation on the basis of race, color, religion, national origin, sex, sexual orientation, gender identity or expression, age, disability, family status, genetic information, citizenship or veteran status in its application and admission processes, educational programs and activities, facilities, and employment practices. The successful candidate will possess an Associate's Degree and three years of office administration experience; or any equivalent combination of experience, education, and training.
