General Description of Position: The College of Veterinary Medicine is seeking applicants for an Administrative Assistant in the Dean's Office. This position coordinates and manages daily operations and provides assistance to the Executive Assistant to the Dean of the College of Veterinary Medicine. This position is an initial contact person for inquiries from the public, unit administrators, faculty, staff, professional veterinary students and graduate students. This individual must exercise good judgment in prioritizing and multi-tasking in a busy environment. Job Description: - Coordinates and manages daily operations and provides assistance to the Executive Assistant to the Dean of the College of Veterinary Medicine

- Provide administrative office support within the Dean's office

- Assists with the portion of the Deans office responsibilities in regards to promotion and tenure, mid-tenure, reappointment process, professorial performance awards, personnel evaluations, sabbatical leaves, leaves without pay, retirements, terminations, and emeritus requests and other related college/university tasks to include assisting with travel arrangements/documentation and other related activities

- Assure compliance in the submission of paperwork to University offices

- Research and compile data for special projects and reports as required by the Dean's office

- Act as the initial contact person for the Deans office for inquiries from the public, unit administrators, faculty, staff, professional veterinary students and graduate students

- Answer multi-line phones, direct calls to appropriate personnel

- Operate fax machines, computer voice mail, and electronic mail

- Coordinate blood drive scheduling; scheduling the apartment for international visitors, scheduling and maintaining vehicle logs, and maintaining office supply needs

- Special projects/assignments will develop throughout the year based on personnel changes, reporting requirements, and the needs of the Dean's office

- Hire, supervise, train, schedule, oversee, and encourage Deans office student workers

Required Minimum Qualifications:
  • Bachelor's degree
  • Two years in administrative support position providing directions necessary to implement the objectives of an agency, program or organizational unit
  • Excellent written and oral communication skills and strong interpersonal skills
  • Attention to detail and organizational skills
Preferred Qualifications:
  • Two to four years of professional experience
  • Word processing database management, Microsoft Excel and PowerPoint
  • Experience in a university setting
