The Maher Group's Office Assistant/Bookkeeper position is a key role to our successful team. The Office Assistant/Bookkeeper will work collaboratively with all departments and divisions to ensure the successful and profitable execution of projects, as well as general office administrative duties with the Maher standards of excellence.

Duties and Responsibilities

Office Assistance - Responsible for all office tasks. Please refer to partial list below.

• Process leads and estimates

• Create in-house job folders both physical & electronically

• Maintain DASH and push from Quickbooks daily

• Inventory, stock and order office & kitchen supplies

• Trouble shoot & maintain office equipment & supplies

• Provide office administrative support

• Set up supplier accounts and qualify subcontractors. Also obtain and track insurance certificates

• Answer multi-line phones, typing and document filing

• Write contracts, subcontracts and purchase orders

• Organize, track and bill change order work

• Maintain office cleanliness, organization and facility maintenance issues/orders

• Address all Maher Enterprise tenant issues and transactions

• Assist President and other Managers on a daily basis

Accounting - Responsible for all accounting functions. Please refer to partial list below.
  • Perform general cost accounting, payroll functions, maintain accounting records, and other related duties in the daily administration of accounting department
  • Assist external accountant at year end with preparing schedules and appropriate paperwork, providing explanations and supporting materials and procedures, and preparing any other necessary data
  • Invoice clients
  • Make bank transactions
  • Perform company payroll in house
  • Monitor accounts receivable collections from clients; reconcile clients accounts, book revenues and fees
  • Perform accounts payable and accounts receivables
  • Manage and code company credit cards
  • Maintain records of all financial documents with appropriate supporting material; update records as necessary
  • Recommend and implement any necessary departmental controls and procedures
  • Files payment remittance documents, correspondence and invoices
  • Responsible for timesheet and expense sheet process. If needed, communicate with the field staff and managers
  • Handle sworn statements, waivers, notice of furnishings and filing of liens
  • And other duties as assigned by the manager.

Computer Skills

• Must have experience in Quickbooks Accounting Software

• Must be proficient in Microsoft Office

• Other software skills considered a plus

Knowledge, Skills, and Abilities
  • Knowledge of office procedures and record keeping
  • Skill to use a personal computer and various software packages
  • Ability to establish priorities, work independently, and proceed with objectives without supervision
  • Ability to handle and resolve problems or issues
  • Effectively communicate with clients, managers, and potential clients

Credentials and Experience
  • Higher education a plus
  • 3 to 5 year of solid office and bookkeeping experience
  • Experience in insurance restoration and/or construction a plus
