Position Information: Undergraduate Admissions is committed to providing the highest level of service to prospective students, their families and educators, and attracting, selecting, and enrolling a highly diverse and academically accomplished student body. Under the direction of the Undergraduate Admissions office's Fiscal Manager, the incumbent is responsible for a wide variety of administrative duties that coordinate and support the daily operating functions of the Non-Resident Admissions team. Responsibilities include: 1) provide direct administrative support for staff; 2) provide budget support, to include: budget projections, cost analysis, and payment reconciliation; 3) provide administrative support for staff travel, events, and functions; 4) coordinate all purchase requests on behalf of the team. This is a one year career position with the possibility of extension dependent upon funding. Budgeted salary range: $20.59/hr to $22.05/hr.
Minimum Requirements: Minimum of five (5) years of experience in a related field.
Skill in accurate record keeping with strict attention to detail and in organizing tasks, documents and materials with efficiency and accuracy.
Skill in adding, subtracting, multiplying, and dividing whole numbers, fractions, and decimals.
Skill in independently researching questions and making appropriate contacts for problem solving, in analyzing information, problems, situations, practices, or procedures to identify relevant concerns.
General writing skills to draft letters and memos for signature or review by supervisor/manager, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
Ability to make arrangements for special events hosted by the department; including room scheduling, room set-up, audio-visual media needs, refreshments, travel arrangements, travel reimbursement, parking arrangements, and other special needs.
Ability to plan, organize and prioritize assignments to independently meet deadlines and complete tasks in an accurate manner, under pressure of constant interruption.
Ability to answer a variety of complex questions with frequent interruptions.
Advanced knowledge and experience with Microsoft Office to include Excel, Word and PowerPoint.
Experience in interpreting policies and establishing guidelines and procedures.
Preferred Qualifications: Education and/or experience equivalent to a bachelor's degree in a related field.
Demonstrated extensive administrative experience in an office environment providing administrative support for staff and/or faculty
Skill in coordinating complex administrative activities by determining the time, place and sequence of actions to be taken.
Experience performing purchasing work at progressive levels of responsibility.
Knowledge of the applicable UC policies and procedures governing areas related to the responsibilities of the job.
