Administrative Assistant to the Dean
Hofstra University’s Fred DeMatteis School of Engineering and Applied Science seeks to fill an anticipated opening for the position of Administrative Assistant. The Administrative Assistant provides support and coordination for the school and ensures that the Office of the Dean operates effectively and efficiently.
Reporting to the Dean, the Administrative Assistant supports departmental programs and initiatives and works with the Dean’s Advisory Board, national agencies and other off campus programs to help achieve goals and objectives. The Administrative Assistant is expected to forge productive working partnerships with and provide prompt, efficient services to students, faculty and administration at the school. The position involves managing manages communication with all constituents on campus and uses sound judgment to respond, to inquiries as they are received to ensure each item or concern is addressed promptly and appropriately. The Administrative Assistant prepares and maintains reports and documentation including faculty load reports, invoice tracking, budget reports and reimbursement submissions. The successful applicant supervises student employees including work-study and research assistants. The ideal candidate will possess strong organizational, communication and interpersonal skills with an interest in office management administrative support. The successful candidate will be able to manage multiple tasks, including researching policies and practices in support of requests and inquiries and guiding students to the appropriate resources within the school and among other departments on campus. An individual in this position must be able to exercise judgment and independent initiative, and to handle time sensitive matters that require concise problem solving and a high degree of confidentiality.
A Bachelor’s degree is required for this position. The successful candidate will also possess a diverse skill set that encompasses being detail oriented, having excellent analytical, verbal and written communication skills. The incumbent must be able to work independently as well as with others, and have the ability to multi-task, while demonstrating flexibility. Willingness to learn new software applications is a must, as is proficiency in creating complex spreadsheets, documents and presentations.
