Primary Function of Organization Unit: North Carolina State University's College of Veterinary Medicine (CVM) is a dynamic community whose members are dedicated to preparing veterinarians and veterinarian scientists while advancing animal and human health from the cellular level through entire ecosystems. With the graduation of its first class in 1985, the CVM is one of the younger veterinary programs in the country. Despite its relative youth, the College has gained international recognition on the strength of its teaching, research, engagement, and patient care efforts and is ranked 3rd among the nation's 31 colleges of veterinary medicine in the current U.S. News & World Report survey. Located on 214 acres near downtown Raleigh, the College encompasses 20 buildings on the main Centennial Biomedical Campus. Instruction is in three departments;Clinical Sciences, Molecular Biomedical Sciences, and Population Health & Pathobiology. In addition to the four-year Doctor of Veterinary Medicine degree, there are programs leading to master and doctoral degrees in several areas with numerous opportunities for specialization. The Dean's Office is the leading administrative unit of the College of Veterinary Medicine (CVM). It is responsible for oversight of three academic departments, veterinary medical services, academic affairs and research and graduate Studies. The college is a professional school engaged in research, teaching, clinical service and public outreach. The college is responsible for DVM professional, postdoctoral and graduate training/education.
Essential Job Duties: This position functions as an administrative assistant and "right hand" to both the Associate Dean and Director of Academic Affairs and the Assistant Dean of Student Development. The incumbent serves as liaison between the Associate and Assistant Dean and Faculty, Staff and Students of the CVM as well as with other offices with NC State and outside governing organizations (e.g., National Board of Veterinary Examiners, USDA /APHIS CORE accreditation, NC Veterinary Medical Board, NC Veterinary Medical Association). Additionally, this positions serves as a liaison with private entities that are engaged with the college and DVM program (e.g. Zoetis Animal Health, Hill's pet foods, etc.). Communicates effectively and professionally in representing the Academic Affairs unit. Will independently resolve issues related to the Academic Affairs office on the Associate and Assistant Dean's behalf. Will support the dean's office in a team effort with the other administrative assistants to provide smooth workflow and optimal efficiency for the CVM. This position also coordinates budgets for the Academic Affairs unit, manages the faculty teaching grant process, will appropriately assess complex organizational issues and refer them to the correct Dean. This includes urgent student medical and performance issues, faculty requests and directives from the Dean of the college.
Department Required Skills: Excellent, professional communications skills as well as a compassionate demeanor in dealing with students under high stress. Ability to quickly learn policies, procedure and associated databases. Possess excellent, professional written communication skills. Advanced knowledge of Microsoft Office. Ability to be flexible and assist with enthusiasm and understanding. Ability to interact with students experiencing stressful situations with expertise and excellent judgement. Experience monitoring / tracking budgets and the ability to support CVM budget management operations. Ability to learn in-house software systems. High level of organization, detail orientation, the ability to work independently with minimal direction, effective communication, sound judgment and the ability to manage complex competing priorities.
Preferred Experience, Skills, Training/Education: 3+ years of administrative support experience. Preferably supporting a high level administrator. Experience in a student affairs or academic setting Associate's degree or demonstrated possession of the competencies necessary to perform the work particularly in an academic setting Knowledge of Family Educational Rights and Privacy Act (FERPA).
