BUS ADMINISTRATOR B
Duties: Under limited supervision, Business Administrator, primary function is to oversee day-to-day financial operations within the Department of Biomedical Sciences. Duties associated with preparation of monthly reports and monitoring expenditures for compliance and final close out for all Funds within the department; Pre / Post administration of research grants, (NIH, foundations and other agencies), general office administration and gift/endowment administration; along with assisting in Departmental budgets administration.
Will be responsible for preparing, processing, approvals and maintaining (but not limited to) Petty Cash, Monthly/quarterly reports (Ben Fin/Business Objects), Monthly/weekly payroll and Salary grids ( UMIS / PennWorks system), HR personnel management, plus new/rehires for the department (HR application Portal / PennWorks), space facilities (space Portal), and other financial transactions (Concur / Ben Fin). Prepare, process and track pre and Post awards (but not limited to) Progress Reports (RPPR) (PennERA), Sub-award/with Purchase Orders (RIS / Ben Fin), Just in Time, Account System Information (AIS), Close outs and proposals for NIH, foundation, Fellowship, and other agencies using PennERA system; and tracking Notice of Awards (e-Common); Attending faculty monthly meetings with the Business Manager. Assist with the process and tracking of Post-docs, VISA and Faculty appointments. Other duties as assigned.
Qualifications: Bachelor's Degree and 3 to 5 years of experience or equivalent combination of education and experience is required.
Excellent computer skills including Microsoft Office (Spreadsheet applications), Working knowledge of UMIS/PennWorks, Ben Financials including general ledger and journal/budget entry applications; Business Objects, Con-Cur, RIS, and Penn-ERA. It is Strongly Preferred working knowledge of Space Portal, e-Commons, AIS; HR application Portal, Effort reporting system and familiarity with UPENN sponsored research policies and related systems. Thorough knowledge of University of Pennsylvania HR/Financial policies and procedures are required. Knowledge of Database software, preferred; Strong written and verbal communication and organizational skills; Attention to detail and ability to prioritize daily and weekly tasks; Must be flexible and able to work as a team as well as independently.
