Stanford's Department Athletics, Physical Education and Recreation (“DAPER”) supports the nearly 900 student-athletes who compete on the 36 intercollegiate athletic teams sponsored by the university. It also supports the campus physical education, recreation and wellness initiatives. Stanford's intercollegiate athletics department is seen as the premier athletic program in the country, achieving the highest levels of success both in the classroom and on the field. Our sports teams speak for themselves in terms of athletic success (combined with the academic success of our student-athletes) and it is our goal to have the business side of our department to be equally top-notch. All employees contribute and help set the tone for the future of the organization. Currently, the Athletics Department is seeking applicants for the position of Learning Center Business Operations Manager to direct business operations, retail program development and overall facility maintenance. Buys merchandise, plans and administrates all related retail functions. Oversees and administrates independent golf instructors and contracts. Coordinates and manages shared facility usage for all program users and the public. Provides customer service training for employees/PGA/LPGA Interns, coordinates product training for instructors and shop staff, manages all Learning Center personnel. Manages all aspects of facility maintenance and coordinates improvements.
Summary of essential job functions
Business Operations;
  • Manages and supervises Learning Center personnel including hiring, scheduling, training, and accurate personnel record keeping
  • Conducts goal setting meetings and performance reviews
  • Sets professional staff standards; daily professional presentation of staff and facility
  • Writes policy and procedure
  • Holds monthly personnel meetings, attends manager meetings, food/beverage meetings
  • Cash counting, daily receipts, POS systems & CC processing management
  • Provides quarterly sales reports
  • Prepares annual budget, evaluates variance reports and adjusts expenses accordingly
  • Analyzes data, prepares reports; labor, program development, marketing, promotions
  • Optimizes revenue generation through daily merchandise sales, rental revenue, club fitting, club repair, programs and demonstration days
  • Researches comparable rates and practices within industry
  • Supports GM in cross marketing campaigns with University groups
  • Orders range supplies, pay invoices
  • Merchandises retail shop and manages inventory
  • Retail buyer; prepares annual OTB Plan, receiving, pricing, sales and promotions
  • Conducts quarterly inventory and prepares variance reports
  • Creates signage and flyers to promote sales and events
  • Coordinates and promotes club fitting days
  • Utilizes technology to promote sales
  • Constituent communications; demo days, club fitting and repair promotions, events
  • Food and beverage communications; coordinates daily with FB vendor
  • Reports food and beverage service issues
  • Communicates and coordinates with golf course event manager
  • Prepares monthly calendar of Learning Center events
  • Coordinates quarterly instructor meetings
  • Coordinates overall facility usage with instructors
  • Coordinates Performance Center usage
  • Coordinates program staffing
  • Develops program pricing structures for clients, prepares invoices, reconciles billing

    Facility & Equipment Maintenance
  • Responsible for daily oversight of facility; cleanliness, professional presentation
  • Oversees maintenance of accessories, targets, fences, ball machine, all equipment
  • Manages facility improvements
  • Cart fleet and utility vehicle maintenance, accurate record keeping
  • Coordinate maintenance work orders

    Key responsibilities

  • Supervises apprentices and trains employees
  • Builds labor, facility, program, marketing and promotion budget
  • Responsible for overall look and feel of range operation, presentation and cleanliness

  • Sends regular communications to constituents of the golf course
  • Tournament preparation and operation
  • Golf program development
  • Additional duties as assigned
    Candidate should possess a four year college degree. MBA or graduate level education preferred. Five years job-related experience is required. Excellent customer service skills. Demonstrated ability to complete tasks under deadline. Demonstrated ability to set priorities in order to perform a high volume of detailed work with constant interruptions. Flexibility and willingness to work as a team player. Working knowledge of MS Office, Excel and Word and Oracle. PC proficient.
    Minimum requirements
    Candidate must have specific golf industry knowledge, retail experience, marketing and promotional skills. Candidate must have a demonstrated ability to create business plans, budgets, evaluate variance reports, make projections and produce financial reports. Candidate must communicate effectively with golf course constituents, management, vendors/suppliers, the general public and other employees of the University. Knowledge of golf terms, etiquette, event operations, golf POS systems, cash handling, credit card reconciliation, basic web administration and database management are also required.

    This position, along with all DAPER coaches and staff, is responsible for the integrity of Stanford's intercollegiate athletics program and for the reputation of Stanford University. This position is responsible for insuring that his/her involvement with Athletic Department activities maintains the integrity of the University's reputation and does not negatively impact the relationship between the University and its faculty, staff, students and alumni. Additionally, this position must comply with University policies and procedures, NCAA and Pacific-12 rules and regulations.
