Accounting Technician II
This position reports directly to the Assistant Controller and is a member of Accounting Services. Accounting Services is under the Division of Administrative Services which reports to the Chief Financial Officer.
Under the general supervision of the Assistant Controller, the Accounting Technician II is required to use initative and judgment in analyzing information and determining a course of action within the specifications of standard practice and established guidelines. Work is usually performed without direct verification or check. Theincumbent selected will be responsible to know all Accounts Receivables (AR) processes and related regulations, policies and procedures; including make mathmetical calculations to correct billings for customers with discounts, sales and use taxes, and other billable charges; prepare invoices, billings and notices for processing; post accurate information on vouchers, journals, registers and ledgers; assign transaction codes and enter them into a computerized accounting system; perform other related duties as assigned.
Major Duties of the job include:
- Understand and apply applicable rules, regulations, policies and procedures
- Review documents for completeness, accuracy and adherence to regulations, policies and procedures
- Process AR invoices timely and accurately
- Follow up on issues and past due accounts in a timely manner
- Run month end reports and confirm all AR transactions have been processed before closing the period
- Identify and report billings to others as required
- Apply payments and prepare documents as required to complete cash receipts process
- Respond to AR list serve requests and inquires
- Follow up on past due accounts
- Process dunning letters
- Prepare documents for writing off uncollectable accounts
- Process, prepare and submit required Franchise Tax Board (FTB) intercept documents / files
- Analyze and process allowance for doubtful accounts and write offs
- Prepare documents for OnBase imaging
- Create and maintain clear, comprehensive Business Process Guides for all assigned job duties
- Create and maintain department task list
- Process, monitor, reconcile and report as required on the University credit card programs
- Audit pay cycles and prepare journal entries
- Prepare State Controller's Office claims,IRS and FTB information returns
- Send notifications when required
- Perform routine clerical duties as needed such as; sort mail, data entry, greet customers, answer phones, provide information, file, and use standard office equipment
Secondary duties include:
- Assist other areas within Accounting Services with other duties as assigned
- Participate in implementations, upgrades and testing
- Provide backup support and/or assume other work assignments during absences, periods of increased workload, or reassignment of duties as required
Knowledge, Skills &amp; Abilities:
- Thorough knowledge and understanding of financial record-keeping methods and practices including Account Receivables.
- Proficient oral and written communication skills
- Understand, interpret and apply university policies and regulations
- Follow directions and work independently
- Compile, analyze, review and verify financial documents for accuracy, completeness, validity, and adherence to standards
- Review documents and computer generated reports to identify, trace, and make necessary corrections
- Reconcile documents and prepare journal entries as needed
- Post to journals, registers, and ledgers
- Review web pages and make recommendations for updates
- Assist with modifications and documentation of departmental procedures
- Maintain files and records
- Exercise tact, courtesy, alertness, and good judgment in responding to others
- Use web browsers, query tools, integrated financial systems and/or other types of records management systems, such as student accounting, cashiering and student financial aid
- Establish and maintain effective working relationships with others
- A history of regular attendance and positive performance reviews
Education and Experience:
- Any equivalent combination of education and experience which provides the required knowledge and abilities.
- Equivalent to three years of progressively responsible financial record-keeping experience or in Accounts Receivables which has provided the above knowledge and abilities.
- Experience using computerized accounting systems(e.g., PeopleSoft Financials)
- Proficient in the use of computer software programs (e.g., Micorsoft Excel and Word)
- Experience working on AR collections
- Two or more years of college with an accounting emphasis
- California State University or other higher education experience or other government experience
- Demonstrated history of providing excellent Customer Service
