Summary of the Position

The Administrative Assistant provides efficient and effective support to both the Associate Vice President of Enrollment Management (AVP) and the Director of Financial Assistance. In addition, the Administrative Assistant provides support for the Student Employment program and serves as the back-up receptionist.

Essential Functions

Administrative: Assist in the preparation of reports and presentations, manage calendars and appointments for the AVP and the Director. Facilitate communications for the AVP and Director with both internal and external parties.

Financial: Review and monitor the cost center budget, draft new budget requests, prepare forecasts for Director's review, resolve discrepancies, create purchase orders, etc. Assist with preparation of travel authorization forms and travel expense reports.

Technology: Run basic periodic reports for the AVP and Director. Manage and organize content of departmental shared drive.

Office/Reception: Serve as departmental point of contact for the AVP and Director. Use professional discretion to make preliminary inquiries and assessments to help resolve problems and expedite issues.

Student Employment: Support the Manager of Student Employment in the daily operations of employing and paying students. Provide accurate and timely information to inquiries from both students and student supervisors.

Minimum Qualifications (Education and Experience Requirements)

High School Diploma (some college preferred) plus 2-3 years of work experience. Must be able to multi-task and be comfortable in a fast-paced atmosphere with changing priorities. Qualities of calmness and discretion needed to effectively communicate with students and families. Must exercise professionalism and confidentiality and demonstrate excellent written and verbal communication skills. Knowledge of basic software such as MS Word, Excel, and PowerPoint and other reporting software required.

Preferred Qualifications

Experience in a higher education setting is a plus. Familiarity with a student information system and document imaging system is helpful as is knowledge of budgeting procedures and account reconciliation.
