Position Summary:

 

 A highly organized, detail oriented individual with an accounting degree and CPA license.  Ability to perform reconciliations, analyses and accounting duties as assigned for New Jersey City University Foundation as well as manage the financial reporting process. Individual must be comfortable with direct interaction at the Board of Trustees level as well as Executive Management.

Responsibilities: This position will be responsible for the following activities relating to New Jersey City University Foundation and West Campus Housing LLC (WCH), collectively the Consolidated Entity.

 

  • Prepare the annual and quarterly consolidated financial statements for the Foundation and WCH and the Consolidated Entity
  • Analyze the Balance Sheet and P&L for completeness and accuracy
  • Prepare/review year end lead schedules for the Foundation
  • Prepare/review year end lead schedules for WCH, including fixed asset and bond accounts
  • Prepare the financial statement as well as the footnote disclosure
  • Research and implement new accounting policies standards
  • Serve as primary liaison with external auditor, actuarial and investment managers
  • Draft Management Comment Responses
  • Perform the annual and quarterly general ledger closing process

 

 

  • Prepare Bond Compliance Documents relating to WCH

 

 

  • Monitor and review Banking & Investment activities
  • Prepare monthly bank reconciliations
  • Initiate approval request for bank transfers among investment/bank accounts
  • Monitor investment adherence to approved investment strategies
  • Perform in-depth analysis of accounts as required
  • Maintain and update signature cards
  • Serve as primary liaison with investment managers
  • Attend quarterly performance presentation on location or offsite
  • Ensure all required communications with Bond Trustee to ensure we are in compliance
  • Ensure debt service requirements are met
  • Prepare and analyze annual budgets
  • Serve as primary liaison for budget submissions
  • Prepare the Annual Foundation Budget
  • Handle day-to-day budget activities/adjustments
  • Prepare Quarterly Budget to actual analysis
  • Monitor and review activities between the Foundation and University       
  • Perform in-depth analysis of accounts as required
  • Monitor and review spending allocation calculations        
  • Prepare the Contributed Salaries Schedule

 

 

  • Serve as primary liaison to the Development Regarding Gifts and Grants
  • Provide guidance regarding accounting requirements relating to gifts
  • Handle day-to-day gift activities/adjustments
  • Reconcile gift activity from Raiser’s Edge to PS GL monthly
  • Perform in-depth analysis of scholarship accounts, if needed
  • Review and monitors the administration of the grants
  • Perform in-depth analysis of accounts of contributions as required

 

 

 

 

  • Serve as primary liaison to the Development and Financial Aid office regarding Scholarships
  • Prepare, analyze and reconcile scholarships accounts quarterly or as needed
  • Serve on the NJCU Foundation Scholarship Committee
  • Prepare the annual scholarship distribution report
  • Handle day-to-day scholarship activities/adjustments
  • Perform in-depth analysis of scholarship accounts, if needed

 

 

  • Serve as primary lead on tax matters
  • Prepare the Federal (Form 990) and State returns
  • Research and implement reporting requirements
  • Serve as primary liaison with external tax consultant and taxing authorities
  • Serve as primary liaison with the Office for University Advancement for the distributions of required questionnaires to the Foundations Board of Directors
  • Form CRI-300R: State Consumer Affairs Annual Charitable Registration Return
  • NJ State Department of Banking & Insurance Segregated Gift Annuity Annual Return.
  • Form 1099R for Gift Annuity

 

 

  • Maintain fund driver unitization software
  • Calculate annual spending allocation in accordance with NJFD policy
  • Automation of Unitization Endowment Pool
  • Software selection and implementation
  • Primary contact with software consultant
  • Maintain system to ensure endowed fund balances are updated quarterly
  • Monitor/review Title V STEM Grants
  • Research and implement grant stipulations
  • Maintain grant endowment unitization pool
  • Monitor matching gifts in compliance of donor's restrictions within grant's stipulations
  • Coordinate/facilitate documentation prior to federal fund drawdown within time constraint
  • Serve as primary liaison with investment managers and Development Office

 

 

  • General and Administrative functions
  • Research/draft and update policies and procedures as needed
  • Create/update various accounts in PeopleSoft system
  • Maintain GL
  • Approve requisitions in ePro System in a fiscal reviewer capacity
  • Monitor internal controls to maintain integrity of financial information
  • Perform special projects as needed
  • Prepare ad hoc reports

 

 

  •  Requirements:
  • Education: Bachelor's degree in accounting and CPA and masters preferred Experience: Minimum of 6 year’s work experience in an accounting or finance position; private foundation, not-for-profit, or higher education experience a plus. Demonstrated proficiency in Microsoft Excel and accounting software applications; experience with PeopleSoft required.
  • Knowledge, Skills & Abilities
    • Strong accounting and finance skills with emphasis in the not-for-profit area
    • Strong knowledge of Generally Accepted Accounting Principles
    • Knowledge of Planned Giving tax filing
    • Ability to research, comprehend and analyze complex data
    • Ability to effectively prioritize and manage multiple competing tasks.
    • Ability to manage confidential and sensitive information
    • Attention to accuracy and details
    • Ability to effectively prioritize and manage multiple competing tasks
    • Ability to independently prepare clear, concise, and effective business correspondences
