Position Information: The BAS Shared Services Center (SSC) is committed to creating a premier service experience for our clients that consistently exceeds their standards of quality, value, and excellence. Our services are performed by a best in class team of highly skilled and engaged service professionals, who participate in change management and continuous improvement strategies that expand our menu of service, broaden the service base, increase acceptance of the shared services model, and moves the SSC operation to the highest level of service and process efficiency and effectiveness.

The SSC currently provides recruitment, time reporting, payroll, onboarding, leave administration and desktop support services for the BAS unit of Architects and Engineers, Auxiliary Services, Business Support Services, Enterprise Risk Management, Environmental Health and Safety, Financial Services, Human Resources, Logistics Services, Physical Plant, and the Police Department.

Additionally, the SSC provides time reporting, payroll, onboarding, and/or leave administration support services to the Office of the Chancellor, Office of the Provost and Executive Vice Chancellor, Office of the Vice Chancellor for Planning and Budget, Office of the Vice Provost for International Affairs, Office of the Executive Director for UC Mexico Initiative, University Advancement, Undergraduate Education, and the College of Humanities, Arts and Social Sciences.

The SSC Payroll and Administrative Services Assistant ensures the timely and accurate review, preparation, processing, and auditing of payroll, personnel, and financial transactions. The Assistant also promptly coordinates and facilitates the onboarding of various appointment types, by performing outreach to new employees, assisting with the completion of new hire paperwork, scheduling fingerprinting appointments, and answering general questions about benefits.

Minimum Requirements: EDUCATION and EXPERIENCE: Five (5) years of administrative experience with at least three (3) years of experience providing payroll support; or an equivalent combination of related education and/or experience.

JOB KNOWLEDGE and CONTINUOUS LEARNING: Knowledge of job related principles, theories, and practices necessary to complete assigned duties. Skill and experience working with large complex online payroll systems; keeping accurate records with strict attention to detail; computing ratios, rates, and percentages; using business software applications to query data from systems and create forms, spreadsheets, and reports. Ability to make appropriate job decisions by following established policies, procedures, and best practices; learn quickly; engage in professional development activities; and apply background, technical knowledge, education, and prior job experience to job assignment.

SERVICE EXCELLENCE: Skill and experience providing excellent client service in a multi-function environment. OTHER REQUIREMENTS: Ability to sit, walk and stand for variable periods. Ability to use computer, keyboard, telephone and other office equipment. Ability to bend, kneel, stoop, lift, carry objects such as boxes of materials weighing up to 35 pounds, by hand or with the use of a cart or hand truck. Ability to successfully complete background screening through the FBI and Department of Justice at time of hire.

Preferred Qualifications: Knowledge of the pay related provisions contained within UC and UCR policies, procedures, and collective bargaining agreements.

Knowledge and basic awareness of continuous improvement methods, such as the principles of Lean.

Skill and experience using the University of California Online Payroll/Personnel System (PPS) and University of California Riverside Time and Attendance Reporting System (TARS).

Skill and experience working in a multi-function shared services environment.

Skill and experience performing payroll and administrative services for academic and non-academic clients.
