About The Unit: The University of Chicago is one of the nation's leading institutions of higher education and research. Campus and Student Life (CSL) is a division comprised of 20 departments that serve the University's 15,000 college, graduate, and professional school students, as well as the campus community more broadly. CSL is charged with the dual task of supporting all students in the University, graduate and undergraduate, and managing multiple campus departments and services that serve the entire campus community. CSL's programs and services focus on supporting student academic success, providing opportunities for personal growth and leadership development, developing community and engagement through the residential housing and dining program, and overseeing activity in areas such as artistic expression, community service, spiritual exploration, and athletic competition. The University of Chicago community includes approximately 6,000 undergraduates and 10,000 graduate, professional, and other students and there are more than 300 recognized student organizations, all of which come together to create a vibrant and dynamic campus life. The University of Chicago is located in the Hyde Park/South Kenwood neighborhood, a racially and economically diverse residential community of 43,000 people on the shores of Lake Michigan, about fifteen minutes south of downtown Chicago. The core mission of the University of Chicago undergraduate student housing program, referred to as the "College Houses," is to deliver a residential environment which supports the academic success and personal growth of its residents. The primary strategy for the delivery of such an environment is through a residence life program that which aims to develop strong residential communities that are self-regulating, supportive of academic success; provide a strong sense of belonging, and rich opportunities for personal, cultural, social and intellectual development. The leadership of residential faculty and adult staff in fostering these experiences is key to the success of the mission.

Unit Job Summary: Reporting to the Senior Associate Director of Operations, the Residence Hall Manager is responsible for the day to day management of several residence halls. Responsibilities include but are not limited to ensuring effective delivery of essential front desk services, managing building access control, working with residential students and staff to identify facility needs (and appropriate follow-up with Facilities Services (FS)), coordination with FS property managers to support delivery of services of building maintenance and custodial services, including project liaison responsibilities for the residence halls within the Residence Hall Manager's purview, and working with the Senior Associate Director of Operations to identify long-term facilities goals and objectives. Residence Hall Managers work in close collaboration with the residential staff and faculty and are required to attend bi-weekly staff meetings for which later evening hours may be required, in addition they are required to participate in an on-call duty rotation for after-hour emergencies. Principal Duties and Responsibilities 1. Front Desk Management: Manage front desk operations to include mail and package delivery services, distribution of student cleaning and recreational equipment, visitor reception and registration, resident check-in/out, comply with the Family Educational Rights and Privacy Act (FERPA). Hire, on-board, train, and supervise the work of union desk clerks, working with the Senior Associate Director of Operations and the Manager, Human Resources, in the corrective action and grievance procedures, and administering the employee performance evaluation process. Develop desk clerk staffing schedule and ensure that all shifts are covered. Approve employees' time worked and time off requests in Time and Attendance system. 2. General Management: Approve and implement building access for all non-residents who need to conduct work in the building. Ensure appropriate partnerships, notifications and communications with Housing & Residence Life, UChicago Dining, Facilities Services, and International House management staff, including conducting investigations of allegations of problematic student/resident behavior interactions with front desk staff; emergency incidents. Work closely with resident staff, including Faculty Resident Masters to support their residential experience. Implement space use and event support procedures including reservations, requesting set-up, AV equipment, and housekeeping as necessary. 3. Expense Coordination: Oversee the purchase of residence hall furnishings. Manage residence hall furniture, furnishings and equipment inventory, replacement and repair. Prepare annual operating budget. Determine purchasing requirements to meet front desk service needs, including building recreational, student cleaning and laundry and other community equipment and all common area FFE. Review and sign off on purchasing invoices. 4. Project Management: Participate as necessary in planning, problem-solving, and operational meetings including regular weekly meetings with the Housing and Dining or International House management teams. Provide local coordination for delivery of (FS) maintenance and housekeeping services within the residence halls. Ensure notification of residents of non-routine work occurring in the building. Coordinate with FS on contractor relationship and performance. Monitor and ensure timely response to resident requests for maintenance and housekeeping services, and/or redirect as appropriate. Coordinate delivery of services to support residence hall activities to include residence hall openings, closings, and special events. 5. University commitments: Represent Housing & Residence Life on division and university committees 6. Other duties as assigned.

Unit Education: Bachelor's degree in a relevant field or a certificate from a college or technical school or demonstrated equivalent training and experience required. Master's degree in student affairs administration preferred.

Unit Experience: At least three years of experience supervising staff in a service delivery environment required. Customer service and vendor relations experience required. Experience supervising full-time union staff in a service delivery environment preferred.

Demonstrated knowledge of reception/front desk services and functions in a residential or hospitality setting required. Strong oral and written communication skills required. Success in planning, executing, and completing residence hall or apartment turnover and common area projects on time and on budget required. Proficiency with management information systems and project management software required. Proficiency with Windows based computers, including the Microsoft Office Suite (Word, Excel and Outlook) required. Excellent oral and written communication skills required. Well-organized, detail-oriented, focused, timely, and efficient skills required. Ability to write and manage simple operating budgets required. Valid Driver's License upon offer of employment and ability to pass the University's Motor Vehicle Records process required. May be required to provide and use own vehicle insured in accordance with University requirements. Willingness to be on-call and work evenings and weekends required. Knowledge of the University of Chicago, Hyde Park community, or the higher education field preferred. Knowledge of industry standards for residential building services, repairs and maintenance required preferred. The RHM is not required to live on-campus. As with all Housing & Residence Life staff, additional hours may be required during University or department emergencies as well as during peak operations times-during the opening and closing of the Residence Halls. Dates and times will be determined by the Senior Associate Director of Operations.
