Duties: Reporting to the Senior Director of Annual Funds and Special Gifts for University of Pennsylvania Health System (UPHS), under limited supervision, provide secretarial, administrative, and program support. Responsible for timely gift processing and production of acknowledgements for donors, including gift transmittals, tracking gifts, producing form letters, copying correspondence and coordinating schedules with appropriate signers. Regularly uses conventional spreadsheets and database programs to track and report on progress of fundraising efforts. Using Penn's development database, Atlas, extract and format data for mailings, and analysis of activities and progress toward various fundraising goals. Provide information to faculty, staff, alumni, students, volunteers, trustees, and grateful patients concerning Penn Medicine Development and the health system's various entities. Aid Associate Director in coordinating the mass and specialized mailings related to solicitations, special events, and stewardship. Assist Senior Director in balancing the monthly budget report by tracking expenditures, processing invoices and purchase orders and maintaining supplies for department. Perform HIPAA compliant patient research. Manage the influx of returned mail, make direct changes to Atlas and resend the mail to new addresses. Maintain calendars including meeting and trip arrangements, travel itineraries, accommodations and processing financial forms. Help coordinate and staff special events; coordinate cards and flowers sent to VIP patients; support process for prospect identification and research.

Qualifications: High school diploma and training in secretarial science. 1 - 3 years of secretarial experience preferred, with one year of experience in development highly desirable. Knowledge of complex computer databases similar to those used in development research is essential. Strong writing and communication skills. Ability to handle complex and highly confidential materials. Ability to staff events as needed. Ability to lift up to 25 pounds.
