Reporting to the Associate Director, Development Technology Services, the Information Support Specialist serves a key role in the Office of Development Information Strategy. Information Strategy is dedicated to housing, managing, analyzing and disseminating information and data to inform Office of Development strategy; foster strong relationships with donors, volunteers and campus partners; and promote effective integration. The Information Support Specialist serves a key role in Office of Development, facilitating information sharing and fostering collaboration.
Specific responsibilities include:
- Manage maintenance and enhancements to @thehelm, our SharePoint intranet site. This involves maintaining and building workflows (using SharePoint Designer), creating and maintaining custom forms (using InfoPath), adding sections using Web Parts, creating and maintaining calendars and pages, keeping up to date content on the site as well as filing documents, utilizing the current information architecture and taxonomies to ensure proper tagging and effective document management, and using templates to add sections.
-Serve as active member of the team dedicated to technical support for the office.
-Assist with Office of Development helpdesk inquiries and provide technical support for both hardware and software issues encountered by our Windows and Mac users.
- Assist with coordinating and facilitating Development-wide training activities, facilitating cross-departmental communication, and acting as an internal resource for staff.
- Assist with regular staff training sessions and office hours including coordinating content, promoting to staff.
-Work with Information Strategy colleagues on the preparation and delivery of internal materials and resources, such as policy documents, process and work instructions, tip sheets, and knowledge base materials.
Essential Qualifications Position requires:
-Minimum of three to five years of relevant work experience.
-Proficiency with Microsoft Office suite of applications.
-Excellent organizational skills; ability to prioritize and manage multiple projects and tasks.
-Effective oral and written communication skills to answer questions, facilitate communication across departments, and support staff training initiatives and activities. -Strong customer service orientation. Flexible attitude and ability to effectively interact with a diverse user community and changing environment.
-Comfortable with and effective using MS Office applications.
-Prior experience with creating and maintaining content in MS SharePoint.
-Able to work both independently to complete tasks in a timely fashion; work collaboratively with staff across the Development Office as needed.
-Close attention to detail and accuracy with a strong work ethic.
-Deadline driven and results oriented.
-Ability to maintain strict confidentiality and to handle sensitive information and material in a discretionary manner.
-Appreciation for the principles of fundraising. Understanding philanthropy and fundraising practices.
- Bachelor's Degree
-Prior experience in a fundraising, non-profit or higher education environment.
-Prior experience with training and information facilitation across diverse audiences.
-Prior experience and familiarity with information architecture and database concepts. -Experience with Service Now, or other ticketing systems.
-Experience with MS Windows and Mac operating systems, hardware/software administration, maintenance, and support.
