Reporting to the Department Chair, the candidate will perform office and administrative duties and collaborate closely with front desk office staff. These duties include utilization of SEMS (Student Engagement Management Systems), Degree Audit and CUNYFirst in support of student advisement and data collection. In addition to the duties outlined in the CUNY Title Overview, tasks will include, but will not be limited to:

  • Support the chairperson in managing the department's course schedule, non-personnel budget, and departmental advisement activities,
  • Coordinate departmental purchasing
  • Administer special projects, events, and efforts to improve unit effectiveness.
  • Collaborate with Human Resources for all hiring needs and payroll functions.
  • Serves as a liaison to various College offices including Advisement, Academic Affairs and the Print Shop.
  • Supervises and trains College Assistants, as needed

QUALIFICATIONS

Bachelor's Degree required.

PREFERRED QUALIFICATIONS

  • 2 Year's of experience working in an academic departmental setting
  • Strong computer proficiency in Microsoft Office (Word, Excel, Powerpoint) and experience with Adobe
  • Familiarity with CUNYFirst, SEMS, and Degree Audit a plus.

Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
  • May supervise office staff and student workers.
  • Performs related duties as assigned.
