I. JOB OVERVIEW

Job Description Summary:

The George Washington University Department of Microbiology, Immunology and Tropical Medicine is recruiting an Administrative Assistant to support the activities of the departmental operations which include: front desk duties, scheduling, meeting planning, and travel arrangements for the department Chair and coordination of conferences and seminars, support for educational activities as well as other departmental related projects.

Responsibilities include:
Performs general front desk duties including but not limited to; answers departmental main phone line, welcomes and orients visitors, receives deliveries, or receives, organizes and reviews incoming correspondence.

Maintains the Chair's appointment calendar and set-up meetings. Creates meeting agendas and teleconference arrangements.

Coordinates the Chair's domestic and international travel arrangements, submits authorizations, prepares memorandums and expense justifications; processes and submits travel reimbursements and prepares trip agendas, creates and maintains travel databases.

Performs logistics related to classroom scheduling and audio visual set-up, assist with the logistics of departmental seminar series and other educational and scientific events.

Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

High school diploma/GED or equivalent combination of training and experience, is necessary plus 3 years of relevant experience, or a bachelor's degree.

Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

Proficiency with Excel, Word and Access databases.

Experience with I-Buy travel and expense applications.

Ability to learn new computer applications quickly.

Ability to work with minimal direction, show initiative and be a good problem solver.

Strong organizational skills.

Demonstrate superior customer service, discretion, and tact.

Excellent written and verbal skills.
