Duties: Reporting to the Executive Director for the Office for Students (OFS), this full time position provides secretarial, administrative and program support in the Office for Students for the Veterinary School. Support both admissions and student affairs in the OFS, working closely and collaboratively with several staff members. Interface with students both in-person and on the telephone, staffs the reception desk, answers phones, takes messages and greets office guests. Other duties include but are not limited to clerical support such as preparing, organizing and filing student files, preparing student mailboxes, and distributing handouts or mail to student boxes. Assist with preparation and execution of events (orientation, white coat ceremony, commencement, and other smaller events). Create student records, enter demographic and matriculation information as well as handle transcript requests and mailings. Assist with the Business Certificate program, data entry of enrollment and course registrations, and run certificates. Collate and process student extern applications, handle inquiries from externs, and create name tags.
Provides some support for the Dean's office: generating listserves, managing agenda for and scheduling Faculty Council meetings while maintaining quarterly faculty lists for four departments. Assist in gathering diversity data for annual Diversity report, gathering faculty data for the AACMC survey, compiling faculty data for biannual school-wide faculty meeting, and gathering data for accreditation report. Assist in an assortment of diversity or faculty affairs-related matters, including: arranging seminars/presentations to faculty, attending meetings with Assistants to Chairs, attending diversity meetings at other schools, and preparing documents.
Qualifications: Bachelor's Degree and 3 to 5 years of experience preferred. HS and 5 to 7 years of experience or equivalent combination of education and experience is required.
Courteous, professional manner and excellent customer service skills required.
Knowledge of Access Database, working knowledge of the admissions process and familiarity with an admissions data base, preferred.
