The Division of Information Technology Services (ITS) is currently seeking a talented individual to fill the role of Administrative Assistant.
The purpose of this position is to provide administrative support to the ITS Department, specifically to area directors, hiring managers, and staff. The Administrative Assistant is the first face of the department, covering the front desk, and greeting and welcoming all incoming visitors and meeting attendees. Reporting to the Director of Finance & Administration, he/she performs a variety of duties to manage effective and efficient communications within and outside the ITS Department. The incumbent will also support the office with special projects as assigned.
To ensure all that essential services are provided to the university community, the employee may be required to work outside his/her regular working hours and on some university holidays.
Associates degree required, Bachelors degree is preferred and one to three years of administrative experience in a professional setting; demonstrated effective written and verbal communications skills along with interpersonal and organizational capabilities; excellent attention to detail with critical thinking skills, project management skills, excellent initiative and self-motivation with flexibility to work under deadlines; and customer service skills.
Must be able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must possess a thorough knowledge of professional office procedures, and demonstrate good judgment, discretion and problem solving skills. Should be willing to assist on an as-needed-basis in a variety of administrative and event planning tasks. Ability to prioritize and manage ongoing projects at the same time.
Strong administrative and computing skills, including Microsoft Office Suite, presentation, Outlook email, spreadsheet and database software are essential. Calendar management experience necessary. Must be able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must be able to take initiative and follow through on tasks independently.
In this fast-paced office, the successful candidate will be extremely adept at planning and prioritization, tactful communication, and will possess a strong organizational background along with ability to be flexible, professional, and creative in responding to requests with very short turnaround.
