Duties: The Undergraduate Fine Arts Administrative Assistant provides a full range of administrative support to the Undergraduate Fine Arts Program's Coordinator and Director, and is the first point of contact for students, faculty, staff and visitors within the Undergraduate Fine Arts Department.
The Administrative Assistant is responsible for maintaining an efficient reception area, and fielding a variety of inquires regarding the Fine Arts program. Primary responsibilities include: processing all financial transactions to include requisitions, processing invoices/purchase orders, credit card procurements and reconciliations, various payments, and reimbursements; maintaining safe, well organized, and efficient facilities, classrooms, and studios in conjunction technical staff and the School of Design's Office of Operations; assist with maintenance of the program website, social media platforms, and the design of promotional materials to include print collateral as well as mass email communications; assist with student registration, special classroom requests, the scheduling of finals, and the scheduling of life models; and assist with the organization of all special events to include exhibitions, lecture series, meetings, and related programing.
Qualifications: HS and 3-5 years administrative experience required or equivalent combination of education and experience; Experience in higher education preferred. Bachelor's degree strongly preferred. Excellent organization, communication, and interpersonal skills are required as well as the ability to multitask and meet critical deadlines. Experience working with financial processes and managing facilities is preferred. Experiencing using BEN Financials and TEM Concur is a plus. Proficiency in basic office software, Adobe Creative Suite design software, and experience maintaining websites required. Design skills are preferred. Background and knowledge in the fields of art, art history and/or visual studies is preferred.
