Posting Description: *Job Responsibilities & Percentage Weights:* Training and customer support: 30% Assist with the creation and management of administrator accounts for all CU-Boulder academic and Alumni Association users (staff, chapters and affinity groups) under the umbrella of the CU system e-communication vendor. This includes providing support and training to those units that want to build and send e-mails or create electronic forms themselves. Providing training and technical support for Harris Connect applications is a major component of this position. Train users to work with the e-communications system including giving presentations to campus units selling the benefits of the eComm program, offering in-depth, tool-specific training opportunities for new users, collating and organizing online training documentation and consulting on email best practices. This position will assist in the administration of a campus alumni e-mail users group to gain buy-in and support for the program. Provide technical support including answering general how-to questions, assisting with HTML fixes, image/graphic editing and reporting and tracking software problems to the vendor. This position also assists with email templates for units with special layout/design needs and ensures non-technical users are able to fully use them and managing content on a support website that includes an online forum, help desk and serves as a resource-hub for campus users. Build e-mails and forms for various campus units that are unable to do so themselves, providing oversight and analytics. Data Management: 20% Assist with the collection and management of contact information, affinities and interests enabling the association and campus to communicate more effectively with both alumni and internal audiences. Provide support with data management including integrating separately maintained lists from campus school/departments/units into the university's parent database, working with database staff to fix errors in records, investigating data inconsistencies, assisting in the creation of new data codes/fields and mastering query/list creation/segmentation. Create and manage email preference opt-in data lists to ensure recipients receive only the communications they specify. Manages communications calendar and quality control: 15% Coordinate campus communications calendar in concert with a CU system calendar and the Alumni Association calendar to ensure audiences receive communications from the university in a strategic, branded and coordinated manner. Work closely with accounting staff to ensure accurate reporting is tracked through event and registration tools. Develop and maintain regular data analysis reports and share with program directors and other campus units using the Harris Connect tool. Work cross-functionally with the Alumni Association communications team, Advancement, the system office and University Communications to coordinate messaging and to facilitate editorial staff in reviewing and editing content for consistency in messaging, grammar, branding and clarity. Create and manage all Alumni Association Registration Pages: 15% Work closely with the events and communications teams at the Alumni Association to create and manage all registrations pages with the goal of increasing conversions. Program oversight: 10% Generate and interpret weekly and monthly statistics for the entire Boulder program including email marketing, event registration and online communities. Attend system-wide Harris Implementation Team meetings and actively participate in regular campus manager meetings. Assist Ecom Sr. Manager with platform upgrades, change requests, problem resolutions and policy/protocol enforcement. Manage Forever Buffs Link: 10% Directly manage Forever Buffs Link, our online directory including setting up email forwarding accounts to keep alumni connected to the university and communicating any major changes or updates to Forever Buffs Link users. Serve as the help desk for alumni with questions about the community and assist with log-in password and ID issues. Oversee all record updates made in the Forever Buffs Link to ensure that the same updates are made in Advance in a timely manner. Report and track all system errors in the online community and work with vendor to ensure they are fixed quickly. *Salary and Benefits:* Salary range of $37,000 - $42,000, commensurate with experience and skills.
