The Associate Registrar will provide leadership for the optimal use of technology within the Registrar’s Office and in collaboration with other campus offices. The Associate Registrar reports to the Registrar and collaborates with the Registrar to ensure office policies and procedures are consistent with best practices.

Responsibilities ( include but are not limited to ):

  • Assists the Registrar in the assignment of duties in the office to meet the needs of the College
  • Monitors and maintains integrity and confidentiality of data
  • Acts as a liaison between IT and the Registrar’s Office
  • Coordinates and maintains Registrar’s Office web presence including the Office of the Registrar Website and MySJC
  • Coordinates systems testing for the Registrar’s Office prior to implementation of system upgrades
  • Identifies jobs/processes that could be automated and work collaboratively with IT and the Registrar towards implementation
  • Maintains accurate student records via Blackboard and/or other designated systems
  • Determines eligibility for Dean’s list and other academic honors
  • Develops classroom assignments each semester using Ad Astra Software and/or other designated systems and processes room usage reports
  • Develops Final Exam schedule in collaboration with Registration Assistant and faculty
  • Manages the production and updates of the College Catalog
  • Processes consortium registrations, grading and reporting to the Hartford Consortium
  • Supervises student workers in the Registrar’s office and reports on their progress to the Registrar
  • Trains core end users on the registration and records systems
  • With the Information Technology Department, coordinates the administrative system operations for the office including, but not limited to Jenzabar, Ad Astra, Blackboard, Acalog, OnBase, and Infomaker
  • Greets visitors to the office and addresses general college questions
  • Participates in College Committees as required
  • Performs other duties as required
  • Implementation of new procedures with the use of technology in collaboration with the Registrar
  • Collaborate with departments to contribute to the improvement of technology using best practices
  • Determining release of records in accordance with AACRAO standards
  • Collaborate with the Registrar to suggest technological improvements to meet best practices within the Registrar’s Office
  • Managing a busy, fast-paced office around seasonal “crunch” times
  • Assessing the needs of the office as well as the college to meet technological demands
  • Develops reports for both internal and external constituents

Qualifications:

  • Bachelor’s degree (Master’s degree preferred)
  • Three to five years of managerial experience in higher education, especially a Registrar’s Office
  • Ability to meet deadlines and manage multiple projects simultaneously
  • Possess strong technological and organizational skills
  • Possesses critical thinking and the ability to analytically solve simple and complex problems with attention to detail
  • Ability to manage projects from start to finish and to work with minimal supervision as well as accept direction on given assignments
  • Strong interpersonal, communications and writing skills
  • Possess solid general computer skills, including ability to work in a Windows environment.   Demonstrated knowledge of Jenzabar and Infomaker software required; familiarity with other specific applications used by the College a plus.
  • Ability to work collegially, yet independently, with others
  • Cultural compentency to work with diverse student population
  • Ability to work some evenings and weekends
  • Physical ability to perform essential functions of the position, with or without reasonable accommodation.

Grade 23
