Position Summary:
The Adler School is a value-centered and growing institution that is seeking an Executive Administrative Assistant to join the Senior Administration Department.
Under the direction of the CFO, the Executive Administrative Assistant will perform diverse administrative, support and clerical duties for the CFO and assist in coordinating related activities in the department. These functions will require confidentiality, initiative and sound decision-making. This individual will rely on excellent organizational skills and the ability to effectively handle multiple priorities. Possess the ability to adapt procedures, processes and techniques to the completion of the assignments and in line with the department’s activities and goals. Additionally this position will exercise independent judgment, escalating serious or unique problems to higher levels.
Primary Responsibilities:
o Initiates procedures and actions to ensure and improve efficiency and organization of CFO’s office
o Handles issues/questions/follow-ups for CFO where appropriate
o Drafts, initiates, transcribes and prepares correspondence, reports, presentations and memos for the CFO
o Responds to and screens phone calls using discretion and initiative
o Organizes and maintains paper and electronic files for CFO
o Meeting development and efficient calendar management
o Interacts with department personnel and executive staff
o Collects, analyzes, and performs special projects of a highly confidential and highly skilled nature
o Fulfills commitments made to customers within expected timeframes
o Plans and schedules meetings, appointments and travel arrangements
o Manages projects; conducts research and disseminates information by using the telephone, mail services, Web sites and e-mail
o Coordinates flow of oral and written communications
o Sorts, prioritizes, organizes and distributes mail
o Some analytical duties as required
o Performs other duties as assigned
Secondary Responsibilities:
o Support Finance & IT team members such as: Controller, Human Resources, Business Operations, Receptionist, etc.
o Covers front desk for receptionist’s lunch period as needed.
Work schedule: Full-time, Monday-Friday.
Qualifications:
o Bachelors Degree
o Five years of successful administrative experience providing support to executive management
o Intermediate level computer skills, must be proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
o Excellent time management and organization skills and ability to prioritize and take initiative to accommodate work flow
o Ability to work independently and as a member of a team
o Must be professional, discreet in manner in maintaining confidentiality and able to exercise discretion
o Ability to work in a high stress and fast paced environment
o Excellent interpersonal skills required, with the ability to interact with all customer groups – staff, faculty, visitors, Board of Trustee members, and the community at large
o Must be able to meet deadlines and handle multiple priorities
o Must possess excellent verbal and written communications skills to include ability to effectively handle complex questions and issues independently
o Strong business sense, and professionalism to communicate with all levels of management and staff
