The Internal Event Specialist is responsible for all internal events from request to completion and provides support to Conference Services Department and the Director of Auxiliary Services. This position receives and confirms reservation requests for internal events and provides resource information to those planning events to ensure proper procedure and event satisfaction. Responsible for all aspects of internal events including planning, preparation, production, and logistics. These functions are performed while offering the highest level of customer service to every guest and customer. The Internal Event Specialist will also compile weekly Operations Reports, order supplies, rented equipment, etc. as needed, and input all class schedules for non-academic programs into the reservation system. This position will also schedule and work with Student Assistants to accomplish event execution. Some evening and weekend hours may be required to support events on campus.
Qualified candidates will have a bachelor’s degree and knowledge of general office procedures with a minimum of two years experience in event, hotel or conference planning. This position requires excellent customer service skills, as well as excellent oral and written communication skills. The successful candidate will be detail oriented and be able to demonstrate strong organizational skills. Must be professional, with an ability to adapt and keep pace with changing workload demands. Candidates must be able to concurrently coordinate multiple projects and have strong analytical abilities and problem solving skills. Experience in Microsoft Office and R25 preferred, but training is available. A basic understanding of IT equipment, including set up is a must. The ability to work weekends and evening hours is essential. Candidates must be able to stand for prolonged periods of time and lift at least 30 pounds.
