Description

The Associate Director’s primary responsibility is the management of the Student Records Data System. They will supervise the Data Analyst, Data System Administrator, Study Abroad and Academic Requirements Coordinator, Transfer Administrator and the Articulation Administrator. They are responsible for the management of online software for degree checks, articulation, Schedule 25, and troubleshooting all data processes (e.g. online registration, add/drop and the online class schedule). They are also responsible for data inquiries for the office. In addition, this position is engaged in a dynamic Office of the Registrar strategic plan focused on initiatives that improve the quality, effectiveness, and services targeted to meet the registration, class scheduling, advising, and graduation requirements for APU students. This person works closely with Enterprise Data Management, Admissions, One Stop, SFS, Business Office, and IMT to provide excellent customer service to students and parents.

Examples of Duties

  • Manages the configuration, updates and improvements for the Student Records software. Controls assignments for the Data Team as needed to implement improved services and simplify data processes.
  • Manages the data workflow to maintain output goals for areas of responsibility. Determines new procedures with the data team to streamline processes and adjust to changing demands.
  • Works with Associate Director for Client Services to formulate advertising plans to effectively communicate to students regarding deadlines and changes in policies, procedures or degree requirements.
  • Works with the Senior Systems Analyst Student Records to plan out all projects, bundles and scheduled improvements to the system. Trouble shoots system issues with the SSASR.
  • Manages the process of determining APU’s undergraduate requirements met by transfer credits, AP, IB and CLEP with Vice Provost. Oversees the development of an operations manual for transfer evaluations. Manages approval of transferable general studies coursework and coordinates with deans and department chairs to determine transferability of classes for major coursework. Manages use of the articulation system.
  • Manages the implementation and operation of the Schedule 25 software for scheduling undergraduate classes. Works with the Systems Analyst to maximize classroom usage and simplify class scheduling.
  • Manages implementation of automated degree audit system. Supervises Transfer Administrator who is responsible for the process of dealing with discrepancies for major/minor requirements and academic policies. Works with the Manager Document Management to implement automated systems.
  • Develops and manages the implementation of articulation policies and procedures. Coordinates with Articulation Administrator to make articulations available via the WEB for all California Community Colleges and other feeder colleges/universities. Attends conferences, workshops and follows the list-serves to remain up-to-date on articulation policies and procedures. Works with Articulation Administrator to publish articulation handbook and information sheets for Admissions staff and Faculty advisors.
  • Supervises the Data Systems Administrator position and its primary functions which include the management of the undergraduate student information system, building of the undergraduate class schedule, and the coordination of all classroom assignments. Also supervises and coordinates all other functions related to Undergraduate Registrar data systems.
  • Recommends training programs for the Registrar staff in regards to transfer, articulation and the student information systems. Oversees the maintenance of operational manuals for training sessions.
  • Represents the Office of the Registrar on various councils and committees as assigned.
  • Participates collaboratively with members of the Undergraduate Registrar’s management team to maximize opportunities for process improvement and overall management strategies of the UG Registrar’s office that support university-wide strategic goals. Problem solves with Associate Registrar, Associate Director of Client Services, and the Director of the One Stop to clarify policies and procedures.
  • Manages the Office of the Undergraduate Registrar in the absence of the Associate Registrar.
  • Other tasks as assigned by the Executive Director.

Education

Bachelor's degree required. Masters Degree in MIS/CIS, or equivalent work experience preferred.

Experience

5-7 years experience configuring and managing registrar/records data systems, preferably for a higher education institution. Experience with PeopleSoft preferred.

Skills

Excellent communication and problem-solving skills, ability to exercise independent judgment and discretion. Adaptability and the ability to come up with solutions to complex problems on short notice a must. Ability to make public presentations. Working knowledge of integrated management information systems. Demonstrated success in working with a team and developing data plans. Strong understanding of implementing new strategies and procedures. Strong understanding of Registrar policy and procedure. Ability to supervise, develop, and evaluate staff, and to foster a cooperative work environment. Proficient in Google Apps., HTML, Microsoft Office, Word and Excel.

Mental Demands

Ability to work under pressure, exuding a mature demeanor while multi-tasking in a deadline oriented environment with accuracy and consistency. Ability to work independently and meet deadlines. Ability to work collaboratively with a team, as well as an independent contributor. Ability to exercise good judgment and discretionary skills in determining when to act independently and when to consult management prior to taking action. Self-starter with a positive attitude. In agreement with the purpose and goals of Azusa Pacific University in providing a Christian-based higher education for its students.

Physical Demands

Requires repetitive motions and sitting at computer keyboard. Hearing and speaking on the telephone. Able to conduct business at other offices on campus. Able to lift, bend, grasp, reach, lift up to 20 lbs. occasionally. Intermittent sitting, standing and walking. Ability to lift, pull, grasp, reach to top of five-drawer file cabinets and stoop to lower file drawers.
